Responsibilities:

– Perform general administrative tasks, including answering phone calls, taking messages, and managing correspondence (emails, letters, memos)

– Schedule and coordinate appointments, meetings, and events, including travel arrangements and necessary accommodations

– Maintain and update filing systems, both electronic and physical, ensuring information is organized and easily accessible

– Assist in the preparation of documents, reports, presentations, and spreadsheets as needed

– Manage office supplies, inventory, and equipment, ensuring necessary items are ordered and maintained

– Provide support to team members, including data entry, formatting documents, and conducting research as necessary

– Uphold confidentiality and handle sensitive information with utmost discretion and professionalism

– Utilize various office technology and software applications, such as word processing, spreadsheets, email, and scheduling software

– Communicate effectively and professionally with colleagues, clients, and other stakeholders

– Demonstrate a proactive and problem-solving approach to tasks and challenges

Qualifications:

– High school diploma or equivalent (Bachelor’s degree preferred)

– Proven experience as an administrative assistant or in a similar role

– Proficient in using office software and equipment (e.g., Microsoft Office Suite, copiers, printers)

– Strong organizational skills and attention to detail

– Excellent communication skills, both written and verbal

– Ability to prioritize tasks and manage time effectively

– Discretion when dealing with confidential information

– Ability to work independently with minimal supervision

– Flexibility to adapt to changing priorities and handle multiple tasks simultaneously
