Job Description:We are looking for an Administrative Assistant to provide varied support to the owner and general manager of our high-end residential construction company. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment. This role requires strong communication skills, professionalism, and the ability to handle confidential information with discretion.

Responsibilities:

Manage and maintain the owner’s calendar, scheduling appointments, meetings, and contact coordination.

Coordinate and prioritize incoming requests, emails, and phone calls, ensuring timely responses

Prepare and edit correspondence, presentations, and other documents as needed

Assist the general manager with project coordination, including sourcing, pricing, and ordering materials and supplies, document management, tracking progress, and updating project schedules

Assist the finance/operations team with billing, invoicing, and bookkeeping tasks

Conduct research and compile information as requested

Handle confidential and sensitive information with discretion and professionalism

Act as a liaison between the owner and internal/external stakeholders

Perform general office duties, such as filing, copying, and ordering supplies

Other administrative tasks and projects as assigned

Requirements:

A valid driver’s license and reliable personal transportation

Bachelor’s degree preferred

2+ years of experience in an administrative role, preferably supporting executive-level management

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines and comfort in a fast-paced and high-intensity environment

Excellent communication skills, both written and verbal

High level of professionalism and discretion when handling confidential information

Ability to work independently with minimal supervision and as part of a team

Experience in the construction industry or related field is a plus
