SUMMARY:
The Executive Assistant to the Governing Board is responsible for performing liaison activities and office management functions; maintain meeting schedules and coordinating arrangements for public meetings; exercising discretion in efficiently and effectively accomplishing complex and difficult tasks in support of the Governing Board and the Superintendent.
ESSENTIAL FUNCTIONS
Serve in a liaison capacity between the Superintendent, Governing Board, and employees of the District and the public. Ensure that the Superintendent’s Office is responsive to the needs of all stakeholders.
Facilitate and coordinate Governing Board Meetings.
Incumbent is required to attend all Governing Board meetings, on and off site, occurring after normal business hours or on weekends.
Be cognizant of current state statutes regarding the Open Meeting Law and keep Governing Board members and the Superintendent apprised.
Schedule and make arrangements for all Governing Board meetings.
Maintain a calendar of Governing Board meetings and proper notification as required by law.
Meet with the Superintendent and Executive Team to develop the Board meeting agenda.
Prepare and disseminate the Board agenda, both in print and electronically.
Attend and assist at all meetings of the Governing Board.
Record, transcribe, and distribute Action Summary and official minutes.
Maintain official file of Governing Board minutes as required by law.
Maintain reference files for Governing Board members, staff, and the public as required by law.
Compile and maintain master calendar of activities and meetings, keep Governing Board members apprised, and schedule their attendance accordingly.
Maintain Governing Board Policy Manual and Operational Procedures Manual.
Respond to inquiries requiring in-depth knowledge of District policies and procedures and office practices.
Assure coordination of both verbal, written, and electronic information to Governing Board members.
Coordinate and assist in preparing reports, correspondence, Board agenda items, and other materials for the Superintendent.
Manage administrative details independently or in consultation with the Superintendent, process correspondence and other materials.
Maintain schedule of state and national conferences designated for Governing Board members and coordinate necessary travel requests, arrangements, and reimbursement.
Communicate with state, county, city agencies, and other school districts on behalf of the Superintendent and the Governing Board.
Perform other duties as assigned.

REQUIRED QUALIFICATIONS
Education, Training, and Experience Guidelines:
High school graduate; combination of education and experience equivalent to completion of two years of college preferred.
Minimum of seven years related administrative, management or executive assistant experience providing high-level support for a senior executive or equivalent required.
License and Certification Requirements:
Possess a valid Arizona State Driver’s License.

Must have an eye for detail, completeness, and accuracy of work product.
Excellent organization and prioritization skills.
Strong interpersonal skills, ability to establish and maintain rapport and positive relationships, and deal effectively and tactfully with all levels of people within and outside of the organization.
Strong writing/composition skills, verbal communication skills, and excellent telephone etiquette.
Ability to work effectively under pressure and manage multiple competing priorities and deadlines.
Must be proactive, take initiative, and be able to identify tasks to be completed and initiate without prompting.
Computer proficiency in Microsoft Office and Outlook required.
Multilingual ability, Spanish fluency, a plus.
