About the role
As the Office Coordinator, you will be responsible for supporting the daily operations of our office and ensuring that our team can work effectively. This role is responsible for maintaining a clean and organized workspace, managing office supplies, coordinating with vendors, keeping the kitchen well-stocked, and assisting with organizing company events. The ideal candidate should be proactive, have excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. This role has minimal customer interaction but does require greeting visitors at the door as needed. The Office Coordinator will work a part-time schedule while remaining flexible to provide occasional support for business events outside of regular scheduled hours.
What you’ll do
Office & Kitchen Management: Own the supply, stocking, and cleanliness of the kitchen and office supplies area to ensure a well-organized, fully stocked, and tidy workspace.
Front Desk Coverage: Serve as the first point of contact for visitors by answering the door as needed, greeting them, and ensuring they sign in/out as per office security procedures.
Vendor Coordination: Manage office-related vendors, including ordering supplies, monitoring service levels, and escalating any concerns.
Office Organization & Facilities Support: Ensure all shared spaces, including meeting rooms and storage areas, are clean and well-maintained. Assist with any necessary office improvements.
Mail Handling & Administrative Support: Collect, sort, and distribute mail while assisting with various administrative tasks.
Event Coordination Support: Assist in scheduling and communicating company events.
Internal Communications: Help manage office-wide communications via Slack updates, digital bulletin boards, and emails to keep the team informed.
Ad Hoc Support: Assist the teams with miscellaneous tasks as needed.
Qualifications
Bachelor’s degree or equivalent experience.
2+ years of experience in an administrative support role.
Ability to multitask and manage multiple projects and priorities.
Excellent communication and interpersonal skills.
Detail-oriented and organized.
Proficiency in Google Workspace.
Ability to work independently and as part of a team.
