The Executive Assistant to the Chief Information Officer (CIO) for the Information Technology (IT) Division is responsible for providing high-level administrative and operational support to a chief officer level executive. The incumbent will provide highly complex executive administrative support while exercising initiative and judgment in managing daily office activities, programs, and/or projects. This position will proactively work with members of TRS’ leadership and executive teams, agency employees, and the public.
WHAT WILL YOU DO
Executive & Operations Support
Provides advanced support, coordinates and organizes day-to-day office operations and activities ensuring compliance with agency policies and procedures and established rules, laws, and regulations.
Communicates the activities, views, and commitments of the executive.
Coordinates and facilitates the executive’s calendar to schedule appointments and engagements; arranges conferences, meetings and travel arrangements; ensures agendas, background information, minutes and other materials are prepared and distributed; and maintains official records of such meetings.
Prepares and reviews, proofreads and edits documents ensuring appropriate distribution and/or records retention.
Receives and screens incoming calls and visitors; evaluates requests/inquiries, determines priority and alerts the executive or chief accordingly; makes referrals to appropriate staff or provides requested information as appropriate.
Exercises discretion in disseminating information and confidentiality on highly sensitive information.
Organizes and maintains confidential records and files ensuring the security of privileged information in accordance laws and regulations.
Compiles information, analyzes data, and writes summary reports.
Assists in coordinating activities to ensure efficient and effective operation of the executive’s office.
Program Assistance
Describes programs, functions and activities and explains established regulations, policies, and legislative proposals.
Maintains and monitors assignment and project due dates, and coordinates with managers and staff to ensure deadlines are met.
Provides required or requested program assistance and information to individuals.
Assists staff in developing and maintaining operational and/or procedural program documents.
Compiles and performs detailed analysis of program data and prepares periodic and ad hoc documents.
Participates on special projects and work groups as needed.
Division Support
Assists with the development/maintenance of or may develop and review division administrative procedures.
May plan, organize, and/or coordinate special projects and assignments relative to the organization as requested by the executive.
May assist with the preparation and distribution of presentation materials for the Board of Trustees in accordance with deadlines.
May assist with the setup of staff and vendors on division business platforms and maintains permissions as appropriate.
May assist divisions with administrative functions as needed.
Performs related work as assigned.

WHAT WILL YOU BRING
Required Education
Associate’s degree from an accredited college or university.
High school diploma or equivalent and additional full-time experience in providing complex administrative support to an executive, executive teams, senior-level management staff, and/or a large department/division may substitute for the required education on an equivalent year-for-year basis.
Required Experience
Five (5) years of full-time directly related, progressively responsible experience in providing complex administrative support to an executive, executive teams, senior-level management staff, and/or a large department/division or related experience.
A bachelor’s degree in a closely related field may be substituted on an equivalent year-for-year basis.
A bachelor’s degree may be substituted on an equivalent year-for-year basis.
Required Registration, Certification, or Licensure
None.
Preferred Qualifications
Experience providing administrative support in an information technology environment and/or a Texas state agency.
Two (2) years of full-time directly related, progressively responsible experience in information systems, telecommunications, computer operations, information security, systems analysis, programming, or related experience.
One (1) year of full-time directly related, progressively responsible experience as an information security analyst or related experience.
Knowledge, Skills, and Abilities
Knowledge of:
Office management practices and administrative procedures.
Agency, division and program policies and procedures.
Document control methods and procedures and records management systems.
Skills in:
Analyzing problems and devising effective solutions.
Planning, organizing, and prioritizing work assignments to manage a high-volume workload in a fast paced and changing environment, and completing detailed work with a high degree of accuracy.
Using a computer in a Windows environment with Microsoft Office word processing, spreadsheet, presentation, database, and other business software to prepare correspondence, spreadsheets, charts, and reports.
Effective verbal and written communication of complex technical information, and the proper use of grammer, spelling, and punctuation.
Ability to:
Provide quality customer service.
Exercise initiative, independent judgement and discretion in handling duties, including sensitive and confidential matters.
Establish and maintain effective work relationships with agency staff and external contacts.

Military Occupational Specialty (MOS) Codes:
