The Counseling Department of the Long Beach Community College District is seeking a highly qualified individual for a current opportunity as an Academic Administrative Assistant! This individual will be responsible for a variety of highly sensitive, confidential, and technical support functions for the Counseling Department and will provide direct administrative support to the Dean of Counseling.

This position falls under Student Services and plays a critical role in supporting both academic operations and student-facing services. In addition to administrative responsibilities, the successful candidate will assist with front-desk coverage, triage student inquiries, and help coordinate events and services that directly support students. This role requires someone who is highly organized, detail-oriented, and equally comfortable behind the scenes and interacting with students, faculty, and staff.

We are looking for someone who has obtained an Associate’s degree in a related field and five (5) years of increasingly responsible office administrative experience; or an equivalent combination of training and experience.

The successful candidate will need to:

demonstrate excellent business communication, project management, and organizational abilities
have the ability to build rapport with students, faculty, and staff across the District

AT-A-GLANCE POSITION INFORMATION
Type of position: Full time (40 hours/week)
Position Status: Permanent
Schedule: Monday-Friday, 8:00am – 5:00pm.
Location: Will support both campuses, but could be located at either the Liberal Arts Campus (LAC) or Pacific Coast Campus (PCC)
Salary: Range 33, $66,813.12 – $82,330.20 Annually
Eligibility list: Will be valid for 12 months once approved or ratified by the Personnel Commission. We reserve the right to use the established eligibility list for vacancies (permanent and temporary) in this classification as well as related classifications

Duties

GENERAL PURPOSE
Under general supervision, performs a variety of highly sensitive, confidential and technical support functions for an academic division and confidential administrative support for an academic Dean; and performs related duties as assigned.

DISTINGUISHING CHARACTERISTICS
Academic Administrative Assistants are responsible for independently providing complex and responsible specialized administrative support functions for an academic School of the District, requiring detailed knowledge of District policies, practices, procedures and computer systems applicable to class scheduling and related functions. Incumbents are also responsible for performing a variety of difficult, sensitive and confidential administrative support duties for an academic Dean.

Academic Administrative Assistant is distinguished from Senior Administrative Assistant in that the focus of incumbents in the former class is on providing specialized administrative support such as scheduling classes and calculating faculty pay loads/contracts.

Qualifications

Education, Training and Experience:
An Associate’s degree in a related field and five (5) years of increasingly responsible office administrative; or an equivalent combination of training and experience.

Meeting the minimum requirements of the position does not guarantee advancement in the selection process. Candidate qualifications will be assessed to determine those who meet and exceed requirements, and are deemed most competitive amongst the applicant pool to proceed.

Selection Process:
The following examination segments are pass/fail and may be utilized during the selection process:
screening of the applicant’s training, background, and experience

Test parts are determined by the size and competitiveness of the candidate pool.
