Interplan is a national architectural and engineering firm with a legacy spanning over 50 years. We specialize in designing innovative spaces for restaurant and retail brands nationwide. Our Orlando office is seeking a forward-thinking and detail-oriented Administrative Assistant to join our team as the first point of contact at our front desk. This role will play a vital part in ensuring smooth office operations and delivering exceptional service to support our internal client satisfaction strategy. Responsibilities

Coordinate production schedules, track key project deadlines, and provide timely follow-ups to ensure deliverables stay on track.
Assist with document management, including Requests for Information (RFIs), submittals, and related records.
Schedule and organize site visits and travel arrangements for the architectural team.
Maintain organized digital and physical filing systems to support document control standards.
Serve as a reliable point of contact with strong written and verbal communication skills.
Collaborate across departments to support team coordination and ensure smooth operations.
Identify issues independently, escalate when needed, and maintain a resourceful, solution-focused approach.

Qualifications & Prior Experience

5+ years of administrative or project coordination experience in either the architecture, engineering, or construction industry is required.
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); familiarity with Google Docs/Sheets preferred.
Experience with project management tools such as Procore, Smartsheet, Coupa, Asana, Fast Field, or Aconex is preferred but not required.
Highly organized with strong attention to detail and prioritization skills.
Strong interpersonal, written, and verbal communication skills.
Proven ability to multitask, meet deadlines, and support multiple team members simultaneously.
A proactive, professional, and team-oriented approach.
Background in a fast-paced, collaborative environment is preferred.
