About the Role

Our client is a building consultant specialising in providing building condition reports, construction stage inspections and strata inspections reports to various asset owners in Victoria, NSW, South Australia, Queensland and WA. Due to continual growth, they are seeking an organised, proactive, and self-motivated Administration Assistant to join their team. In this versatile role, you will be the administrative backbone of the office, providing crucial support to the Director and team of building inspectors. Alongside general administration, you will handle daily accounts support functions.

Key Responsibilities

  • Office Administration: Manage daily office operations, answer incoming inquiries, maintain filing systems, and provide high-level administrative support to the Director.
  • Accounts Support: Assist with the end-to-end accounts payable process, including invoice data entry, supplier reconciliations, and preparing payments.
  • Xero Maintenance: Use Xero confidently to process daily transactions and ensure financial records are kept up to date.
  • Documentation & Reporting: Use Microsoft Word to format professional client reports and Microsoft Excel to maintain tracking logs and operational data.

Skills and Experience Required

  • Administration Expertise: Proven experience in a busy office administration role, ideally supporting a mobile or field-based team.
  • Xero Knowledge: Competency and confidence using Xero for routine accounts payable and bookkeeping tasks. (Highly regarded)
  • Software Proficiency: Strong skills in Microsoft Word (document layout and templates) and Microsoft Excel (data management and spreadsheets).
  • Communication & Interpersonal Skills: Outstanding verbal and written communication skills with a natural ability to connect with the Director, inspectors, and clients.
  • Work Ethic: A proactive self-starter with exceptional organizational skills, a high attention to detail, and the ability to multitask.
  • Problem Solving: Strong critical thinking skills with a knack for independently resolving scheduling clashes or administrative bottlenecks.
