Job Description:

The Administrative Assistant/Executive Assistant plays a critical role in providing high-level administrative support to ensure the smooth operation of the office. This role involves conducting research, handling information requests, managing correspondence, and performing essential clerical functions. As the primary point of contact for office communication and information management, the ideal candidate is highly organized, detail-oriented, and proactive in handling administrative tasks.

Key Responsibilities:

Perform general office duties, including ordering supplies, maintaining records, and assisting with bookkeeping tasks.

Prepare and process invoices, reports, memos, letters, and financial statements as needed.

File and retrieve corporate documents, reports, and records to ensure efficient information management.

Manage and sort incoming correspondence (emails, faxes, and mail) and distribute it appropriately.

Draft and prepare responses to routine inquiries and correspondence.

Support scheduling, calendar management, and travel arrangements as needed.

Assist in coordinating meetings, preparing agendas, and taking minutes when required.

Required Skills & Qualifications:

Strong verbal and written communication skills to interact professionally with internal teams and external stakeholders.

Ability to multi-task, prioritize, and manage time efficiently in a fast-paced environment.

Maintain a high level of organization, confidentiality, and discretion when handling sensitive information.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant computer applications.

Education & Experience:

High school diploma or GED required; additional certifications in office administration are a plus.

2–4 years of experience in administrative or executive support roles.

The target hiring compensation range for this role is $22.30 to $24.78 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
