As an Administrative Assistant you will be an integral part of our Building Operations team. Your goal will be to provide administrative support within the Building Operations team. Your success will be to provide financial support with requisitioning PO’s and receiving invoices, assisting with budget development, tracking and scheduling training.

Your Responsibilities
Financial
Submit requisitions, receive invoices, manage POs, accruals, budgeting
Purchase parts/equipment/etc. for all facilities
Contract or agreement reviews, as required
Administration
Building Operations meeting notes and actions
Sending notifications to building occupants & EAs about upcoming work/activities
Creative brief submissions using digital signage
Printing requests with Xerox
Purchase of office supplies for team
IT equipment requests
Signage ordering (exterior & interior)
Team training – Tracking training requirements and scheduling training courses
Management and monitoring of EV charger usage at Home Office
Your Skills
Awareness of facilities and general facility maintenance
Financial and accounting experience (Oracle/Inspyrus)
Budgeting knowledge essential
Strong attention to detail, must be able to multi-tasking and have ability to work with little supervision
Skilled at managing multiple, ever-changing priorities with a focus on customer service
Excellent communication skills, both oral and written, are necessary along with strong relationship building skills
Must have excellent computer skills with knowledge of the full suite of Microsoft Office programs (PowerPoint, Excel, Word, Outlook, Outlook Calendar management)
Your Experience
5-10 yrs experience in admin or facility management role
Experience with financial tracking and budgeting (issuing PO’s and receiving invoices)
Company experience is an asset
Leadership experience is an asset
SharePoint and ServiceNow experience are an asset
