Office location: Kailua, Hawaii 96734 – this role offers work from home, but candidates must be local to the area for event support.

Compensation: $55,000-$60,000/year

Position Overview

We are seeking a highly organized, proactive Administrative Assistant to support our Founder and growing advisory team. This role is critical to our operational excellence and client engagement strategy, blending administrative mastery with end-to-end event coordination. This role is approximately 99% working from home and 1% assisting with workshops.

Key Responsibilities

Manage calendars for advisors and schedule appointments.

Coordinate events including setup, breakdown, and catering.

Maintain customer relationship management (CRM) system (WealthBox), Slack, and Intulse systems, document compliance notes, track milestones.

Assist with administrative duties, documentation, and marketing.

Engage with clients professionally and with a focus on timeliness.

Contribute to marketing efforts and explore outreach strategies.

Daily Tasks

Answer phone, respond to texts and administer emails.

Schedule new prospects and existing clients.

Use CRM to maintain communication records.

Help plan events and marketing campaigns. Proactively determine and solve for event and meeting needs and expectations

Manage event sign-ups, client follow-ups, technical support and evaluations.

Strategic Initiatives

Master WealthBox CRM and implement automation workflows.

Assist with monthly workshops and venue coordination.

Ensure a warm and welcoming experience for our clients

Assist team in their marketing plans for federal employees.

Create community-based client engagement events, under the 3 topic criteria: Fun, Service, Educate.

Preferred Qualifications & Skills

3+ years in administrative support and/or event planning.

CRM experience (WealthBox preferred).

Excellent communication and multitasking abilities with a strong attention to detail.

Proficient in Microsoft Office, Google Workspace, Adobe.
