Position Summary
The Executive Assistant to the CEO provides high-level administrative operational and strategic support to the CEO, ensuring smooth operations and effective communications. The role requires strong organizational skills, discretion, attention to detail, and the ability to manage a wide range of responsibilities in a fast-paced, mission-driven environment.
Key Responsibilities:
Administrative Support:
Manage the CEO’s calendar, schedule appointments, and coordinate meetings.
Prepare and edit correspondence, reports, presentations, and other documents.
Handle incoming calls, emails, and other communications on behalf of the CEO.
Organize and maintain files and records, ensuring confidentiality and easy retrieval.
Serve as the primary point of contact between the CEO and fundholders.
Board Relations:
Coordinate board and committee meetings, including scheduling, preparing agendas, compiling materials, and taking minutes.
Maintain up-to-date board records and assist in governance processes.
Foundation Administration:
Coordinate the creation of new funds within the foundation.
Ensure timely and accurate processing of grants, donations, and fund disbursements.
Maintain and manage the Foundation’s donor and grant management database.
Communications and Outreach:
Draft, proofread, and manage communications on behalf of the CEO.
Support CEO’s engagement with donors, partners, and community leaders.
Represent the CEO professionally in internal and external interactions.
Qualifications:
Bachelor’s degree preferred; equivalent work experience accepted.
Minimum 3 years of experience supporting senior executives
Nonprofit or philanthropic sector experience a plus.
Exceptional organizational and time-management skills.
Strong written and verbal communication abilities.
High level of discretion and professionalism in handling confidential information.
Proficient in Microsoft Office Suite and comfortable with technology and remote collaboration tools.
Passion for community development.
Job Type: Full-time
Pay: $55,000.00 – $70,000.00 per year
