Job Description:
The administrative assistant will assist the CEO, hospital administrator, and finance director in the daily running of the hospital. Duties will be concentrated on organizational tasks but will also be project-based.
Essential Job Duties:
Assist with all hospital meetings, including managing invitations, sending reminders, keeping the calendar up to date, recording, taking attendance, tracking attendance, and storing power points and recordings in the hospital drive
Reserve the conference room when needed for meetings
Order food for appreciation weeks and events
Check the Kudos and suggestions boxes 2-3 times weekly and add items to the leadership team meeting agenda
Work with the CEO to prepare the weekly team memo. Print, distribute, and file each memo on the hospital drive.
Help to set up CE events, including ordering and delivering food, tracking RSVPs, and assisting with advertisement
Help maintain contact list in Mail Chimp, and assist with design, coordination, and sending of the quarterly primary care veterinary newsletter
Assist the HR manager with reference emails and scheduling hiring interviews
Set up and manage the scrub portal for new and existing employees
Help track and process CE approvals, CE time off, CE reimbursements
Assist with PTO tracking for personnel and for payroll processing, including help with tracking callouts
Assist with payroll as needed
Help with onboarding and changes to direct deposit and W4 paperwork
Help track and file accident reports
Order and post compliance posters for the breakroom
Assign and manage key fobs for hospital doors for employees and vendors
Assign and track lockers in Bamboo and in a spreadsheet
Keep Vendor contact list up to date both in the general hospital drive and in the management drive
Help contact vendors when needed for repairs
Collect and sort mail coming into the hospital
Assist with holiday cards, recipient lists, and mailing
Run and track daily practice summary statistics from the electronic medical record system.
Other projects as needed
Assist with client payments and invoice audits as needed.
Important skills:
This job requires a high attention to detail and comfort with Excel, Google Workspace, and Google Sheets. Previous experience with MailChimp and BambooHR is preferred.
