The City of Broadview Heights has a great Full Time opportunity for an experienced Administrative Assistant in our Building Department. In this job, you would be responsible for providing customer service to the general public and construction contractors, performing a range of office clerical and administrative duties which would include supporting the Planning and Board of Zoning Appeals as needed.

This is an interesting job with a lot of variety in a busy office, requiring attention to detail, strong clerical and computer skills, and excellent phone and in-person communications skills. Duties and Responsibilities

Greeting in-person visitors and answering telephone calls to respond to inquiries or direct calls.
Working closely with building inspectors to schedule inspections and enter data into our system.
Issuing, receiving, typing and processing various applications, permits and other forms; reviewing completed forms for signature and proper entries.
Maintaining records pertaining to issuing permits.
Distributing permit information and reviewing applications for permitting and licensing.
Assessing and collecting fees related to permits; summarizing fee information for deposit.
Preparing and distributing periodic reports.

Qualifications

• High school diploma or equivalent. Working knowledge of Microsoft Word, Excel and Outlook, and the ability to learn the Building Department software applications. • General knowledge of accounting principles, payments, deposits and creating and maintaining spreadsheets. • Effective communications and excellent telephone, email, written and in-person customer service skills. • Strong organizational skills, ability to professionally handle stressful situations, and multitask. • Ability to maintain strict confidentiality

Special Requirements

Previous experience in a similar role within a City government office is preferred.
