About Role:

We are looking to hire a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. The Administrative Assistant will help the Executive Director with various office tasks. They will be the main person in charge of handling messages and making sure everything runs smoothly.

Responsibilities:

Here are the main things they will do:

Handle Messages:Sort and direct incoming messages to the right people, make sure things get done, and keep track of what still needs attention.

Manage Schedule:Take care of the Executive Director’s calendar by planning meetings, conferences, and phone calls.

Meeting Support:Help with meetings by preparing, doing research, taking accurate notes, and following up on tasks.

Travel Assistance:Assist the Executive Director and the team with travel plans and hotel bookings, making sure everything is approved and expenses are covered.

Event Support:Support in planning and organizing events like retreats, meetings, and staff gatherings. This includes doing research, planning logistics, handling communication, assisting on the day of the event, and managing invoices.

Welcome Guests:Greet and assist guests and customers in person or on the phone, helping with their inquiries.

Prepare Reports:Collect and analyze information from different sources to create reports.

Filing and Record Keeping:Keep files organized and maintain systems for easy retrieval of information. Record discussions from meetings for future reference.

Project Support:Assign tasks to clerical staff and make sure they are completed.

Requirements:

Here are the qualifications and skills required:

Associate’s Degree in a related field

Skills:Be a self-starter with lots of energy, pay attention to detail, be flexible and good at solving problems. Have excellent communication skills, both spoken and written. Be good at using computers, especially Microsoft Suite.

Personal Qualities:Be professional, organized, and manage time well. Be comfortable handling unexpected situations, changing priorities, and taking on multiple projects.
