Job Title: Athletic Department Secretary / Office Assistant – Greenfield-Central High School
Reports To: Athletic Director

Job Summary:

The Secretary/Office Assistant for the Athletic Department provides essential clerical, organizational, and communication support to ensure the smooth and efficient operation of all athletic programs. This role involves frequent interaction with students, coaches, administrators, officials, parents, and community members. The assistant supports the Athletic Director in coordinating schedules, managing records, and facilitating compliance with state (IHSAA) and district policies.

Essential Duties and Responsibilities:
Clerical and Administrative Support:

Serve as the first point of contact for visitors, students, and phone/email inquiries related to athletics.

Maintain a professional and welcoming front office environment.

Prepare and distribute athletic department correspondence, announcements, newsletters, and eligibility forms.

Manage and update athletic calendars, schedules, and event notices on the school’s website and platforms like Eventlink or ArbiterSports.

Assist in preparation and filing of IHSAA forms and other compliance documentation.

Organize, maintain, and archive student-athlete records, physicals, consent forms, and eligibility documentation in compliance with school and state requirements.

Game and Event Support:

Coordinate official assignments and game worker schedules (ticket takers, clock operators, etc.).

Prepare game day materials (rosters, programs, tickets, signage, etc.).

Assist with facility scheduling and usage by teams, outside organizations, and the community.

Support communication and logistics for transportation requests, meal planning, and team travel.

Manage cash boxes, reconcile ticket sales, and assist with event financial reporting.

Communication and Coordination:

Communicate regularly with coaches, student-athletes, and parents regarding schedules, changes, and expectations.

Post daily announcements related to athletics.

Coordinate with local media and assist in submitting scores and stories.

Maintain accurate contact information for coaching staff and officials.

Confirm events with opponents – both home and away

Financial and Inventory Tasks:

Assist the Athletic Director with budget tracking and purchase orders.

Order, receive, and inventory athletic supplies, uniforms, and equipment.

Coordinate vendor payments and track booster club contributions or sponsorships as needed.

Qualifications:
Education and Experience:

High school diploma or GED required.

Previous secretarial, administrative assistant, or school office experience preferred.

Experience with athletics or familiarity with IHSAA policies and procedures is highly desirable.

Knowledge, Skills, and Abilities:

Strong organizational skills and attention to detail.

Proficient in Microsoft Office, Google Workspace, and school-based platforms like PowerSchool or Eventlink.

Excellent verbal and written communication skills.

Ability to multitask and remain flexible in a fast-paced environment.

Professional demeanor and ability to handle confidential information with discretion.

Team-oriented with the ability to work collaboratively with school staff, coaches, and the public.

Working Conditions:

Position: 225 days per school year

Paid Sick days(10), Personal days (3) and Holidays (10)
