Office Manager/Admin Assistant – Maryland Branch

International Construction Equipment, Inc, (I.C.E.) a leading manufacturer of pile driving and drilling equipment, is seeking an Office Manager/Admin Assistant at our Halethorpe, Maryland branch. As an Office Manager/Admin Assistant, you will be responsible for providing administrative support to the Supply Chain and Purchasing departments. You will partner with the Branch Service Manager to coordinate administrative activities and will perform a variety of support tasks to assist staff members with complex details and advanced administrative duties.

Responsibilities and Competencies:

Provide administrative support including purchase order entry, receipt and inventory transfers.
Develop and maintain the database of important contacts/contracts.
Coordinate calendars and meetings to manage priorities and avoid conflicts.
Support service scheduling, coordination and set-up for technical work.
Track and follow-up on various action items to ensure schedules and due dates are met.

Assist in the creation/implementation of processes to support the organization.
Order shipping/packing supplies.
Develop and maintain file systems.
Oversee scheduling and logistical arrangements.

Required Qualifications:

Minimum education of High School diploma required.
1 to 3 years of experience as an administrative assistant.
Excellent organizational skills and attention to detail.
Excellent oral and written communication skills.
Ability to work under pressure to meet tight deadlines while supporting multiple staff.
Ability to prioritize work and manage multiple responsibilities. Strong cooperative, team-player attitude is a must. Must be able to work effectively with all levels of internal and external parties.
Excellent computer skills, including knowledge of Microsoft Office, Excel, and other specialized software programs such as Epicor ERP.
Internet-savvy to search for timely and relevant information as necessary.

You must be able to pass a drug test, background check as it relates to the role and completion of an I-9 form. ICE® is an eVerify employer.
