Position Description — Receptionist & Administrative Assistant (RAA)

The RAA reports to the Operations Support Manager (OSM) and is responsible for providing office and clerical services are provided in an effective and efficient manner. Answering phones and greeting guests in a professional manner for a multi-tiered company are requirements. Duties include switchboard (Inter-Tel Windows based system), greeting clients, sorting incoming mail, and other administrative functions. The RAA must be proficient in Microsoft Outlook, Word and Excel and is required to be proficient in typing/word processing. The RAA must be dressed & groomed appropriately at all times.
Main Activities / RAA-
Receive, direct and relay telephone messages and fax messages
Direct the calls and visitors to the appropriate staff member Open appropriate mail and date stamp all general correspondence Process outgoing mail
Coordinate courier shipments and supplies (USPS, UPS, Fed-Ex)
Maintain general filing system and file all correspondence necessary from front desk operations Maintain an adequate inventory of office supplies
Respond to public inquiries
Provide word-processing and secretarial support
Daily filing
Order pizza monthly
Greets, assists and/or direct visitors, couriers and the general public
Daily attendance book
Packets for new hires Assist with new hires
Performs other duties assigned by the OSM
Attendance & Punctuality-
The expectation is that the RAA will be at work and on time on all scheduled days. A minimum of two-hour notice is required via a text to the OSM if the employee cannot meet the assigned schedule.
Customer & Employee Relations-
Assists & answers questions
Follows up with customers & employees as needed
Works closely with the OSM to facilitate communication with customers & employees as warranted
Personnel Functions-
Makes recommendations to update the Receptionist /Administrative Assistant Position Description annually or as requested by the OSM
Abides by all company safety regulations & policies
Status-
This will be an “At Will” Hourly position. The usual weekly work schedule will be from 8 a.m. to 5:00 p.m. Monday through Friday with an hour for lunch. The weekly work schedule as can be modified in the employer’s sole discretion.
This is an Hourly position with Hourly Benefits, Paid Holidays and Paid Time Off as included in the Employee Handbook for Hourly Employees shall apply to this position. Vesting and/or length of employment requirements will apply.
This position is eligible to receive overtime. All overtime must be preapproved in advance of being worked by the OSM or President.
The Company, in its sole discretion, reserves the exclusive right to change, modify or discontinue anything contained within the Employee Handbook or this Position Description at any time. There will be a 90 Provisional Period for this “At Will:” position.
Other-
Goals and Objectives will be assigned and measured each annually by the OSM.
The employer has the sole right to determine the essential functions, educational training requirements, and the performance standards for this position.
Physical Requirements
It is understood that position involves working in an office environment. Walking and sitting are requirements for this position. Climbing stairs, lifting up to 25 pounds, reaching, grasping & stooping are requirements. Pulling and pushing are requirements for this position. Dust, construction debris and fumes could be present and could affect air quality. Since this position will interact with our valued employees and others, listening and communicating are requirements. Sitting, typing, corresponding using a computer and viewing a computer screen are requirements. The position will report to the Frederick Maryland facility for now however; the Company reserves the right to relocate its facility at any time they deem appropriate.
Qualifications
College degree or 2 years of administrative work experience.
Ability to process at least 40 words per minute utilizing a standard computer keyboard.
Must be able to work in Microsoft Office, PowerPoint, Excel, Outlook & Word
Ability to work with and safeguard and not share private and sensitive information is essential.
Must have reliable transportation in order to report to work daily. The ability to create, punctuate and format documents for publication.
Able to work in a team environment, communicate in a clear concise manner and conduct business in a professional, diligent, organized and ethical manner.
Compliance with the Core Values of the Company. Conducts behavior as well as company business pursuant to The Pleasants Way. Able to communicate in Spanish is a plus but is not a requirement.
