If you answered yes to these questions, then Seattle Public Utilities’ People, Culture and Community (PCC) Branch’s Administrative Staff Assistant role may be the place for you!
We are seeking two resourceful and proactive administrative professionals to join the PCC team to provide day-to-day administrative support and coordination. The roles will primarily support either our Corporate Performance Division (Information Technology) or Customer Care Division (Customer Affordability Programs):
Corporate Performance: As an Administrative Staff Assistant for the Corporate Performance Division, you will become a member of a diverse and dynamic team that works to enable a future ready utility where technology empowers our employees to fulfill our commitment to people, communities and the environment. In this role, you will directly support the Division Director with administrative tasks, meeting management and communications, recruitment processes, project coordination and event planning. You will provide administrative support to the division’s managers and team members on training and procurement, staff engagement, digital workplace management and outreach.

Job Responsibilities
Serve as the administrative professional to the work group assigned. This can include direct administrative support to management and/or leadership such as calendaring, meeting coordination, training and travel, HR activities, communications, event planning, finance, and project tracking.
Assist with the management of SPU’s internal application/portal for customer inquiries, which includes disseminating and accurately routing requests, research SPU system data compilation, drafting and/or editing responses to customers on behalf of management staff.
Utilize various computer applications and software packages; enter data, maintain and generate reports from a database or network system; design, maintain, and utilize data to develop reports using spreadsheet software; create, format and revise charts, graphs, flowcharts, booklets, brochures, and forms; verify data for accuracy and completeness.
Provide administrative support to workgroup managers and advisors with their performance tracking metrics and methods for measuring outcomes.
Review and edit briefing materials and presentations. Work with staff to ensure quality of content and writing prior to submission.

Qualifications
Experience: One (1) year of experience in administrative analysis, budget administration or preparation, office management, personnel administration, program administration, as staff assistant, or in a closely related field.
Education: Bachelor’s degree in business or public administration, or another closely related field.
Education and Experience Equivalency: Combinations of appropriate education, training, certification, and experience will be evaluated on an individual basis for comparability to the minimum education and experience requirements.

A solid understanding and practice of accounts payable, contract procurement, and project management concepts.
You should be able to thrive in a fast-paced, dynamic environment, be passionate about continuous learning and improvement, approach challenges as opportunities and think creatively about solutions.
Proficiency with Microsoft 365’s platform of tools and applications; High proficiency in Outlook, Excel, PowerPoint and SharePoint are necessary for success. Experience with Adobe Acrobat, VISIO, and electronic signing software are desirable.
The ability to maintain confidentiality and handle sensitive information appropriately is essential.
Strong customer service experience.
Working Environment/Conditions:
Work is performed in an office environment.
This position requires in-person at work for 3 to 4 days per week to meet business needs.

The full salary range for this position is: $40.00- $46.63 Hourly
