Position Description

The City of Seattle is seeking an experienced, skilled administrative professional to provide high-level administrative support to two deputy mayors in service to the One Seattle vision of building a thriving, innovative, and equitable city we are all proud to call home. The role provides advanced support to the deputy mayors on a variety of highly sensitive and complex administrative and operational functions. They have a critical role in ensuring smooth administrative operations within the Mayor’s Office, providing steady support to the deputy mayors in a dynamic environment, anticipating needs, and proactively resolving problems. The work environment in the Mayor’s Office is complex, challenging, and political. This work will leverage your administrative expertise, project management skills and ability to bring order and predictability to a myriad of requests and questions. Job Responsibilities

Here is more of what you will be doing:

Perform routine, complex, diverse, and confidential administrative duties in support of the deputy mayor.
Prepare, review, and edit daily communications, e-mails, correspondence on behalf of the deputy mayor.
Schedule and prioritize calendars, appointments, contacts, and events. Coordinate deputy mayor’s participation and engagement in external meetings and events.
Coordinate and prepare meetings on behalf of the deputy mayor, including collecting relevant material, conducting background research and providing/supporting logistics.
Track, coordinate, and triage time sensitive requests, working closely with staff as necessary.
Monitor and track key actions items and deliverables ensuring appropriate follow-up.
Draft agendas, prepare meeting materials, take meeting minute notes and follow-up on action items.
Coordinate travel, including travel itineraries, conference registration, making all travel arrangements and reconciling expense reports.
Serve as a team lead or personally carry out special studies, projects, or reports at the direction of the deputy mayor.
Serve on internal teams to improve service delivery, administrative or operational procedures, or promote workplace culture.

Qualifications

The Executive Assistant will have experience that reflects a commitment to equity and public service. They have knowledge of, and work experience with, supporting an executive and are familiar with the workings of local government. To the work they bring expert level administrative skills that reflect a comprehensive knowledge of the administrative needs of executive leaders within a government agency. Leverages their technology expertise to organize work, communicate, manage projects with tight deadlines, and solve problems.

This knowledge and experience should be complemented by demonstrated ability in a combination of the following areas:

Exceptional interpersonal skills, including the ability to communicate positively and effectively across a diverse workforce as well as with executives, elected officials and other senior level staff, community-based organizational groups, and constituents.
Self-motivated with a solution-oriented approach to work with the ability to be productive with minimal oversight.
Strong organizational skills, detail-oriented, and the ability to multi-task while adhering to tight deadlines in a highly confidential and political environment.
Engage with others in a manner that reflects collaboration, partnership, and respect.
Exercise a high level of tact, good judgment, discretion, and diplomacy.
Utilize a range of software programs including but not limited to: Outlook, Teams, Word, PowerPoint, Excel, Visio, SharePoint and Adobe.
Respect the lived experience of others and reflect a commitment to equity and social justice in your interactions and work.

Additional Information

This full-time benefited position is classified as a Mayoral Staff Assistant 2, Exempt in the City payroll system. It is not covered under the Civil Service System and is FLSA exempt (not eligible for overtime payment). The full salary range for this classification title is $114,005 – $171,069 annually based on 2088 hours ($38.00 – $76.01 per hour). The identified salary the Executive Assistant role is $111,227.76 annually based on 2088 hours ($53.27/hour per hour).

Employees are expected to work in-office 4 – 5 days per week. Individual schedules will be based on an agreement between the employee and their supervisor. Executive Assistants may be required to work nights, evenings, weekends or attend meetings at locations outside of the office.
