Reports To: Executive Director and Program Director of ETSSalary: $18.50–$20.50 per hourOpportunity Type: Part-time (20 hours per week)
Position Summary
The Office Manager/Administrative Assistant will report directly to the Executive Director and work closely with the TRIO Programs Director. This role is vital to the effective administration, implementation, and continuation of programmatic initiatives and grant activities. While based in Portsmouth, the position involves routine travel to schools to meet with participants and support school and community relationships. The individual must demonstrate professionalism, discretion, and a heart for working with students and families from diverse backgrounds.
Essential Duties and Responsibilities
Perform complex and confidential administrative and accounting activities.
Respond independently to general correspondence and routine inquiries.
Prepare reports, presentations, manuals, student schedules, and other program materials.
Coordinate and maintain data systems, including software updates and troubleshooting with vendors.
Organize and maintain confidential student records including academic, financial, and personal information.
Assist in developing budgets in areas such as preparing cost estimates, and maintain accurate records of timesheets, contracts, reimbursements, and invoices.
Authorize and track purchases, maintain office supplies, and schedule maintenance for equipment.
Manage newsletters, TV-based announcements, and other outreach tools.
Work closely with departments such as financial aid, registrar, and finance offices to ensure compliance with audit standards.
Compile data for complex annual reports for grantors and stakeholders.
Provide direct administrative support to ensure compliance with TRIO program goals.
Represent the program in community, school, and organizational settings.
Attend relevant professional development and training as required.
Engage in occasional lifting and work outside the office environment when necessary.

Experience with software platforms such as PeopleSoft and Blumen preferred.
Knowledge of college admissions, financial aid, and academic advising processes.
Cultural competency and ability to relate to underrepresented populations.
Leadership, strategic thinking, and relationship-building abilities.
Qualifications and Education Requirements
Education: High School Diploma; Minimum of Associate degree required.
Experience:
Minimum one year in an office, clerical, or customer service role.
At least 2 years of experience working with students from diverse backgrounds and/or 3 years in youth or college prep programs.
Prior experience with nonprofits and grant-funded programs strongly preferred.
Technical Skills
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with Adobe software, social media platforms, and internet navigation.
Licenses/Certifications
