Overview
We are seeking a highly organized and proactive Executive Assistant to support our CEO in a dynamic and fast-paced environment. The ideal candidate will possess exceptional communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently. This role is critical in ensuring the smooth operation of executive functions and will involve a variety of administrative responsibilities.
Responsibilities
Provide comprehensive administrative support to the CEO, including managing schedules, appointments, and travel arrangements.
Maintain and organize files, documents, and records for easy access and retrieval.
Handle phone calls with professionalism, ensuring effective communication and customer service.
Assist with clerical tasks such as data entry, document preparation, and report generation.
Manage the front desk duties as needed, greeting visitors and directing them appropriately.
Utilize QuickBooks for basic financial tracking and reporting as required.
Coordinate meetings using Outlook Calendar, ensuring all necessary materials are prepared in advance.
Leverage Google Suite tools for efficient collaboration and project management.
Support special projects as assigned by the CEO, contributing to strategic initiatives.
Qualifications
Proven experience as a personal assistant or in a similar administrative role.
Strong computer literacy with proficiency in Microsoft Office Suite (especially Outlook) and Google Suite applications.
Excellent phone etiquette with strong verbal communication skills.
Ability to provide outstanding customer service while maintaining professionalism at all times.
Detail-oriented with strong organizational skills to manage multiple priorities effectively.
Familiarity with QuickBooks is a plus but not mandatory; willingness to learn is essential.
High level of discretion and confidentiality when handling sensitive information.
