This role involves responsible and advanced clerical work, which includes administrative responsibility in a major department. Positions allocated to the class differ from positions in the class of Senior Secretary either because of the independent performance of more complex secretarial tasks or because responsibility is involved for the operation of a complex office.

Essential Job Functions

The following statements describe the principal functions of this job and its scope of responsibility but should not be considered an all-inclusive listing of work requirements. Individuals may perform other duties as assigned, including working in other functional areas to cover absences or relief, to equalize peak work periods or otherwise to balance the workload.

Acts as a personal secretary and performs duties of an administrative aide nature for the Destination Management Organization (DMO) Executive Director.
Makes Travel Plans for the Executive Director, including but not limited to working with the Tourism Program Coordinator to process Travel Requests, booking flights, rental cars, hotels, and registrations for trade shows, conferences, and any other travel commitments.
Creates reports for Tourist Development Council meetings as requested by the Executive Director.
Crafts agenda memos for items that need to be presented to the Board of County Commissioners, Tourist Development Council, or any other boards.
Assists the Executive Director with PPTs to be presented at different boards organizations.
Participates in the work of the Executive Director such as interacting with office visitors.
Keeps Executive Director’s calendar and schedules appointments.
Advises Executive Director of important meetings.
Takes and transcribes dictation where the position requires the skill.
Takes minutes of conferences, meetings, and official functions as required.
Prepares forms independently and composes letters for Executive Director’s review or signature.
Creates and maintains files. Files letters, reports, and related technical information in the prescribed manner.
Researches and assembles information for Executive Director’s use.
Creates reports and collates data utilizing a personal computer. Receives and screens callers. Refers callers to other employees, officials, or departments.
Assists and offers direction to other team members as needed.
Assists the Tourism Program Coordinator in the purchase orders process as needed.
Assists the Tourism Program Manager Coordinator in preparing Local, State, and National Reports as needed.
Maintains and/or orders supplies for the department.
Occasional heavy lifting may be required up to 50 pounds.
Performs related work as required.

Knowledge of business English, spelling, and punctuation.
Knowledge of office practices and procedures.
Knowledge of the overall functions and operations of the unit to which assigned.
Ability to prepare documents and compose letters and memoranda.
Ability to make decisions in accordance with departmental rules, regulations, and policy.
Ability to establish and maintain effective working relationships with team members and the public.
Ability to relieve the schedule of the chief.
Ability to operate a personal computer and utilize the related software programs.
Knowledge of the County mainframe system.
Ability to read for comprehension.

Social skills to create good workplace relationships and gets along with others.

Minimum Requirements

PHYSICAL SKILLS: Ability to communicate effectively using speaking, hearing, writing and vision skills. Occasional heavy lifting may be required up to 50 pounds.

EDUCATION, TRAINING AND EXPERIENCE: Graduation from an accredited college or university with an Associate degree and two (2) years’ experience in secretarial and/or clerical experience including typing experience and the operation of a personal computer OR graduation from high school or possession of an acceptable equivalency diploma and four (4) years’ of experience.

In House Employees: This position qualifies for DAP.

LICENSES, CERTIFICATIONS OR REGISTRATIONS: Must possess a valid Florida driver’s license.
