Position Description:

This position reports to the Office Manager assisting with various administrative and accounting tasks; maintains workflow to support Field Operations, Accounting Staff and Support Staff.

General Duties:

· Processing invoices for multiple vendors and subcontractors

· Data Entry

· Call Management

· Filing and general office duties

· Occasional office errands as needed

· Various other duties and/or projects to support the department, as assigned

Core Competencies:

Ability to meet deadlines and complete multiple daily tasks in a timely manner
Excellent organization and time-management skills; ability to prioritize and multi-task
Attention to accuracy and detail; must be able to work with minimal supervision
Ability to carry out detailed written and/or oral instructions independently
Ability to learn and retain knowledge of company policies, programs, and procedures
Intermediate experience with MS Word, MS Excel, MS Outlook, and Adobe
Strong, clear, and concise verbal and written communication, including email
Ability to problem solve and work well under pressure
Ability to accurately file and maintain well-organized files
Minimum 1-year administrative experience (Construction office preferred)
Accounts Payable experience a huge plus

Physical Qualifications

Strong organizational skills with a focus on attention to detail
Proficiency in Microsoft Outlook, Excel, and Word
Previous experience in construction office administration
Excellent communication skills, both written and verbal
Ability to manage time effectively and prioritize tasks
Familiarity with accounts payable processes and procedures

Requirements:

This is a full-time, Monday – Friday position with some schedule flexibility; Must be able to sit for extended periods of time using the phone and computer; must be able to lift up to 25 lbs.; must possess the ability to communicate clearly with co-workers and managers in a professional manner.
