What will you be doing?
The Accounting Administrative Assistant supports the Accounting Manager through administrative tasks, including invoicing, journal entries, bank reconciliations, and addressing accounting issues. The ideal candidate demonstrates proficiency in office tools, organizational prowess, attention to detail, and the ability to work independently while ensuring the confidentiality of financial information.

Accounting Administrative Assistant responsibilities include, but are not limited to:
Process and finalize daily deposits, meticulously documenting any discrepancies for comprehensive record-keeping
Manage the timely retrieval and distribution of department invoice files, promptly reporting discrepancies or issues to the Accounting Manager
Code invoices to appropriate general ledger accounts and enter accurate data into the accounts payable system upon approval by Department, Accounting, and General Managers
Process approved purchase orders and maintain organized Microsoft Excel spreadsheets for effective record-keeping
Post invoices in the property management system for homeowner and HOA administrative accounts upon manager approval
Assist with periodic inventory counts and facilitate the procurement of office supplies approved via purchase order
Conduct daily cash and credit card reconciliation, monitor purchase orders and expenses, and handle billing for homeowner accounts
Manage accounts payable, maintain contact with vendors for balance and credit inquiries, and conduct balancing, auditing, and recording of general ledger accounts
Support monthly homeowner closeout processes, address homeowner inquiries, and conduct unit inspections on arrival days
Provide assistance to the Guest Services department as required, handling tasks such as answering phones and assisting guests
Organize and record all HOA invoices, communicate with the HOA representative, and actively contribute to month-end processes

What are we looking for?
Accounting / bookkeepping experience or education
Strong written and verbal communication skills, will be communicating with travel agencies and property management firms
Intermediate Excel knowledge
Proficiency with general office equipment and PC applications (i.e. multi-function copiers, word processing, spreadsheets, databases, Acumatica, email, remote desktop connections)
Experience with accounting softwares; Demonstrated ability to learn new accounting systems quickly
Experience with property-level accounting and/or operations highly desired
Capable of using independent judgment: solid decision-making skills
Ability to manage time and work effectively in a fast-paced environment
Keen attention to detail with a strong commitment to accuracy and confidentiality
Proven job reliability, diligence, dedication, and attention to detail
