Position Overview

The successful candidate will support the Corporate Services department by working closely with a team of law clerks, lawyers, and articling students. The role involves managing a high volume of work with tight turnaround times—both during and outside regular business hours—and contributing to transactions and corporate record-keeping functions.

Key Responsibilities

Maintain and update corporate minute books and related documentation.

Proofread and quality-check documents to ensure compliance with procedures and standards.

Maintain and organize files to ensure they are easily retrievable by principals, file/scan all paper or electronic correspondence/records into the firm’s document management system.

Track important dates and deadlines using the firm’s tickler system.

Reconcile invoices and manage monthly expense processing.

Respond to general inquiries regarding the location of minute books and which law clerk is responsible for each company

Scan and upload corporate documents into the firm’s database.

Draft and print share certificates.

Generate share registers, director and officer registers, and shareholder transfer ledgers.

Participate in special projects and initiatives as assigned.

Qualifications and Attributes

Completion or current enrollment in a recognized paralegal or legal assistant program is considered an asset.

Strong attention to detail and excellent judgment.

High level of initiative and strong organizational and project management skills.

Effective interpersonal skills and a collaborative mindset.

Excellent time management with the ability to prioritize tasks in a fast-paced environment.

Clear and professional communication skills, both written and verbal.

Ability to work independently and within a team setting.

Willingness to work overtime when needed.
