Primary Purpose

Perform various administrative duties for the Vice President of Financial & Business Services and other areas reporting to their respective divisions. Creates and reviews documents and correspondence, schedules meetings and appointments, answers the telephone, establishes and maintains appropriate files, and performs other clerical functions. Assists the Human Resource Department and Campus Information in support of the college’s mission, requiring considerable latitude for exercising sound judgment and discretion; exercises critical human relations skills in establishing and maintaining effective working relations with employees, retirees, students, the college community, and the public. May provide administrative functions for other areas in the Administrative Suite as needed.

Position Duties

Serve as confidential office support to the Vice President of Financial & Business Services and the Human Resource Department, which requires initiative and judgment to establish work priorities and organization to meet required schedules, sometimes under considerable scheduling pressure. Provide excellent customer service in a timely, cooperative, courteous, and professional manner. Maintain records, reports, and files for Financial & Business Services in a logical, discernible filing system. Answer the telephone and take accurate messages; provide information or referral as necessary. Assist with office coverage for the Administrative Office suite. Receive, open, and sort mail, maintain the calendar, and schedule appointments for the vice president. Process all travel and reimbursements, purchase orders, work orders, and invoices for the VP and Human Resources. Type memos, letters, and forms. Proofread various documents for grammatical accuracy and provide copy editing. Coordinate the dissemination and collection of documents throughout the campus to support initiatives from the supported areas as necessary. Prepare for meetings and serve as recording secretary for meetings as requested. Maintain personnel files in accordance with state and federal law, as well as WCC procedures and practices. Assist with employee onboarding and processing as needed. Maintain faculty personnel files through the probationary period and ensure faculty credential files are complete in accordance with college accreditation standards. Maintain the campus directory listings, including phone directory information, Board of Trustees Personnel Report, website directory, and organizational chart. Assist the VP with maintaining the employee tuition reimbursement files and spreadsheets. Maintain the College Procedures Manual files, both electronic and paper, as well as ensure the internal website is current. Manage outside reservations of college facilities.

Position Requirements

An associate degree or higher in business administration, office administration, or a related technical field from a regionally accredited institution and three to five years of office or technical support experience, or a combination of education and extensive experience is required. Excellent skills in typing, spreadsheets, web-based informational databases and portals, computer-based software technologies, and familiarity with various office machines. Working knowledge of Microsoft Office programs and the Google platform is essential, as are effective communication and organizational skills. Advanced skill and experience in Microsoft Excel is preferred. The candidate must be a self-starter, process-oriented, and possess strong organizational, leadership, administrative support, and communication skills. The position requires initiative, sound judgment, and confidentiality to establish priorities and meet demanding schedules. Professionalism, a positive demeanor, and the ability to work collaboratively with others are also essential.
