Paint Pros USA is a trusted, professional painting company committed to delivering high-quality results with precision and efficiency. We are currently seeking a proactive, responsible, detail-oriented, and fully bilingual Office Administrator to support our growing operations.

This role is ideal for someone who is highly organized, thrives in a fast-paced environment, and is confident managing multiple responsibilities. The successful candidate must be able to work both independently and collaboratively and will be given autonomy to manage key administrative functions. A strong sense of responsibility, organization, and reliability is essential.

Position Summary

As our Office Administrator, you’ll be a key part of our team, ensuring smooth day-to-day operations. You’ll manage scheduling, QuickBooks entries, administrative support, and coordination related to projects, vendors, and compliance documentation. This position offers the opportunity to work independently while being an integral part of a supportive team environment.

Primary Responsibilities

Coordinate calendars, prepare billing reports, and assist with estimates
Provide general office support including phone/email correspondence, data entry, and document management
Manage all QuickBooks tasks such as accounts payable and receivable
Maintain accurate and organized records; assist with licensing and permitting processes
Support field personnel and assist with general field condition needs
Assist in Workers’ Compensation and General Liability audits
Maintain up-to-date vendor and subcontractor records and verify insurance compliance
Process change orders, issue purchase orders, and manage contract files
Prepare billing reports, spreadsheets, and project documentation as needed

Qualifications & Skills

Minimum 3 years of administrative experience (construction industry preferred)

MUST be Proficient in QuickBooks and Microsoft Office Suite (Word, Excel, Outlook)

MUST be Fully bilingual in English and Spanish

MUST have Strong organizational skills with the ability to manage multiple tasks and deadlines

MUST be able to work independently and as part of a team

MUST be Highly responsible and self-motivated, with the ability to take initiative and manage tasks autonomously

**Experience with Procore and cost-plus contracts is a plus

Notary certification is preferred but not required

Excellent verbal and written communication skills

Dependable with a professional demeanor and strong attention to detail

Job Details

Position Type: Full-time

Pay Range: $20.00 – $25.00 per hour

Schedule: Monday – Friday | 7:00 AM – 4:30 PM

Location: In-person – Kendall, FL 33186

Education: High school diploma or equivalent required
