Events and Office Manager Job Description

The Events and Office Manager is a key leader on campus responsible for two interconnected areas: front office operations and school-wide event and engagement coordination. This highly visible role ensures a professional, welcoming front office environment while planning, managing, and executing events that strengthen community engagement and support the school’s mission. The ideal candidate is detail-oriented, personable, highly organized, and capable of leading teams while managing multiple priorities.

Duties and Responsibilities

School-Wide Event Planning & Project Management

Help plan and execute major K-12 community, fundraising, and academic events such as Miner Mania, Miner Gold Rush, the Annual Gala, parent/teacher conferences, academic awards, continuation, graduation ceremonies, etc.
Serve as the project manager for events, creating timelines, scheduling meetings, ordering supplies, and overseeing day-of logistics.
Collaborate with staff and external partners to enhance community-building and fundraising efforts through events.

Community Engagement & Volunteer Coordination

Supervise, mentor, and recruit key volunteers, including Grade Level Coordinators (GLC)
Lead and support community engagement events such as service days, F.A.S.T. activities, staff appreciation events, and coffee conversations.
Actively build relationships with families, business partners, and local organizations.
Lead and work with the events and volunteer coordinator to ensure volunteer eligibility and training compliance.
Ensure there is a sound process to welcome and check in any visitors, volunteers, and/or parents and guardians.

Office Management Leadership

Supervise, direct, and evaluate front office administrative staff, ensuring high-quality customer service and professionalism.
Oversee all front office operations to ensure a welcoming and secure experience for students, staff, families, and visitors.
Collaborate with K12 administration teams to ensure relevant processes and policies are in place and effective.
Coordinate communications with the Communications & Engagement team.

Additional Duties

Assist with emergency drills as necessary.
Other duties as assigned

K-12 Responsibilities

As full-time, salaried employees, you are expected to contribute to our organization’s success outside of the school day. This may include:

Sponsoring a Club or Coaching a Team (both may include a stipend)
Serving on Committees or Task Forces (minimum once a month)

Education and Related Work Experience

Bachelor’s degree in a related field (event planning, education, administration, or communications).
Minimum of 3 years of experience in office management, event planning, or a similar role; school setting preferred.
Strong supervisory experience and a proven ability to lead teams.
Proficiency with Google Workspace and project management tools (preferred: Asana, Raptor, Bloomerang, RunSignup, GiveSmart).
Exceptional organizational, communication, and customer service skills.
Ability to maintain confidentiality, professionalism, and adaptability in a fast-paced environment.
Master’s degree preferred in a related field
Experience in a K12 school setting.
Experience with software tools such as Asana, Bloomerang, GiveSmart, Raptor, and Runsignup

Skills and Abilities

Read, write, and interpret documents such as rules, policies, expectations, agreements, rubrics, scope and sequence documents, and assessments.
Ability to speak effectively before groups of staff, students, Board of Directors, Administrators, and parents.
Ability to understand and carry out instructions given in written, oral, or diagram form.
Ability to apply an entrepreneurial outlook and a charter school commitment.
Ability to deal with problems involving several variables.
Strong organizational skills and the ability to coordinate different tasks.
Ability to work with limited supervision and to be self-motivated.

Physical Requirements and Working Conditions

The employee must occasionally lift and/or move up to 25 pounds.
Vision abilities required include close vision, distance, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Work is occasionally performed outside, exposed to extreme temperatures and loud noises.
Work hours may occasionally be extended.

PAL – Paid Annual Leave beginning immediately following the first day of work (FTE 1.0 = 10 days / 0.8 = 8 days/ 0.5 = 5 days, etc.)
Paid Holidays that include – 11 paid Holidays for 10-month Employees (please refer to Employee Handbook for these 11 days) and 15 paid Holidays for 12-month Employees (please refer to Employee Handbook for these 15 days.
