Job Description
JOB DESCRIPTION SUMMARY
The School Secretary I is directly supervised by the School Principal and is responsible for providing a high level of administrative support to the principal by exhibiting professionalism in written and oral communication when interacting with staff, students, parent, and community members within the district.

ESSENTIAL FUNCTIONS
1. Conduct clerical functions that support the school year and summer operations of the school.
2. Prepare and enter monthly board approval actions and BoardDocs business tabs for the school.
3. Order/purchase supplies, submit invoices, enter requisitions, transfer funds, monitor budget expenditures/balances, conduct Purchase Card reconciliations, and complete travel requests.
4. Assist in the maintenance of budget reporting by providing reports to the school leader.
5. Serves as the timekeeper for the school by monitoring and preparing payroll which may include entering overtime, reconciling employee absences, and entering additional compensation payments.
6. Prepare and enter monthly board approval actions and BoardDocs business tabs for the school.
7. Field incoming calls and deliver messages to the appropriate staff.
8. Maintains the sign-in logs and buzz guest in and out of the school following safety protocols.
9. Serves as the school Liaison with Transportation department to assist with address busing concerns.
10. Create and distribute school mailing and robo calls.
11. Maintains the school and school leader calendars.
12. Schedules interviews for school leaders.
13. Collects student enrollment information (enrollment form, proof of residency, immunization, proof of age) at non-magnet schools in the absence of the Student Data System Specialist (SDSS).
14. Participate in mandatory professional development and trainings.
15. Provide a high level of customer service to all staff, students, and parents by responding to inquiries withing 24 to 48 hours.
16. Communicate effectively and confidentially at all levels, over the phone, face-to-face, in written form, and by email.
17. Other relevant duties as assigned by supervisor in support of the department’s or school’s goals and objectives and the District’s mission and Superintendent’s Priority Goals.

KNOWLEDGE, SKILLS, & ABILITIES
· Excellent customer service in an education setting.
· Prior experience in an educational setting preferred.
· Strong understanding of student information systems preferred.
· Proficient in administrative and clerical procedures and systems.
· Advanced knowledge in payroll, timekeeping and data entry.
· Proficient in MS Office Word and Outlook as well as other software applications, Excel preferred
· Expert in time management and organizational skills with a willingness to utilize resources to achieve results in a fast paced
every changing environment.
· Enthusiastic about the fundamental goal of advancing student achievement in an urban public school district.

This position requires individuals to live in the territorial boundaries of the School District of Pittsburgh. If hired for this position you will be required to establish residence within three calendar months of your hire date with Pittsburgh Public Schools.
