Summer Work Program Administrative Associate

Position Type: Seasonal, Part-Time

Start & End Dates: April 1 – August 22, 2025

Hours: 20 hours/week from April to June; 35 hours/week from July – August

Availability: April – June: flexible schedule TBD with supervisor; hybrid

July – August: Mon – Thurs 9am – 5pm + 3 flex hours, onsite

Pay Range: $20-$24/hour Reports To: Summer Work Program Site Coordinator

Location: LEAP Salem office (April – June), hybrid

Salem State University (July – August), in person

ABOUT LEAP: LEAP for Education (LEAP) is a non-profit organization that supports youth in their personal, educational, and career growth by partnering with the community to increase opportunities and advance equity.

ABOUT SUMMER WORK PROGRAM: LEAP’s Summer Work Program is a 6-week program for high school students to get early job experience, explore their interests, learn how to set goals, and build their long-term career readiness skills. Multilingual learners will do this in a supportive environment that aids in developing their written and oral English literacy skills.

Program Goals:

Provide students with high-quality career development experiences that foster positive connection to peers, employers, mentors, and the larger community
Support the development of key soft skills through workshops and applied learning
Engage students in projects that connect to a career of interest

JOB SUMMARY

The Summer Work Program Administrative Associate provides comprehensive administrative support for the Summer Work Program, serving students, families, and staff throughout the program lifecycle. This role is responsible for assisting in student onboarding, coordinating family outreach, managing daily transportation, supply purchases, and entering accurate program data. In addition, the Admin Associate translates key communications and materials as needed, ensuring that all stakeholders receive clear and timely information (Spanish proficiency required).

ESSENTIAL DUTIES

Student Onboarding & Administrative Support:

Assist in collecting and tracking all required program paperwork from students (50–60 participants) using designated spreadsheets.
Follow instructions from program leads to ensure student onboarding progress is accurately recorded and updated.
Support setup of student emails, massPay accounts, and file maintenance as directed.

Family & Community Outreach:

Monitor the SWP support email and respond or escalate inquiries as needed.
Assist the Program Site Coordinator and Director in implementing outreach plans, including drafting and sending messages.
Help coordinate 2–3 open house events by preparing materials, setting up spaces, and supporting logistics.
Translate written and verbal communications into Spanish (and, when applicable, other languages using a translation platform) as directed.
Help distribute newsletters and outreach materials to families.

Daily Program Support:

Assist with managing and coordinating daily transportation logistics, ensuring students and staff have necessary information.
Follow supply purchase requests and complete orders as needed.
Enter and maintain accurate program data, including student records, attendance, and survey responses, as instructed.
Complete additional administrative and program-related tasks as assigned to support the overall success of the Summer Work Program.

SKILLS REQUIRED

Fluency in Spanish required
Experience in an administrative or support role, preferably in an educational or nonprofit setting.
Strong attention to detail, reliability, and ability to follow instructions.
Excellent written and verbal communication skills.
Proficiency with Google Drive..
Ability to multitask and prioritize tasks as directed.
Must agree to a CORI and SORI background check
High school diploma or equivalent
Demonstrated commitment to LEAP values and mission
