Full Job Description

Job Title:Administrative Assistant

Pay & FSLA Status:$23-$25 per hour, D.O.E., Hourly non-exempt

Regular Schedule & Shift:Monday – Friday, Day shift

Regular Weekly Hours:Full-time/40 hours per week (overtime as needed)

Paid Time Off (PTO):80 hours accrued year 1; 120 hours accrued annually after year 1

Paid Sick Time:48 hours annually

POSITION SUMMARY:

The Administrative Assistant performs a basic range of secretarial and administrative duties, including answering phones, ordering office supplies, simple data entry, filing etc.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Copy, scan, and distribute documents as needed.

Place orders for office supplies as needed.

Receive, sort, and route mail and publications.

Answer incoming telephone calls, determine the purpose of calls, and forward calls to the appropriate personnel or departments.

Welcome on-site visitors and determine the nature of their visit to announce their arrival to the appropriate personnel. Monitor visitor access as needed.

Provide prompt and accurate assistance to the sales staff, Sales Manager, and General Manager as needed. Tasks may include, but are not limited to:

Entering orders into the computer system.

Answering customer questions.

Provide backup assistance to the Office Manager or HR Manager as needed. Tasks may include, but are not limited to:

Submitting daily invoices.

Processing credit and debit memos.

Processing merchandise returns (RMA’s).

Entering bank deposits.

Reviewing employee credit card reports.

Reviewing payroll.

Assisting with HR duties and paperwork.

REQUIRED SKILLS:

Professional demeanor in representing the organization, and generally be friendly and confident.

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Ability to write routine correspondence and to speak to customers in a professional manner.

Knowledge of Microsoft Office Suite, including Word, Excel and PowerPoint.

Strong problem-solving skills.

Strong multitasking skills, including the ability to re-prioritize tasks throughout the day based on changing needs and directions.

Strong organizational skills.
