We are looking for a highly organized and proactive Part-Time Administrative Assistant to support our operations team with administrative tasks and ensure smooth day-to-day functions. This role is ideal for someone detail-oriented, tech-savvy, and comfortable in a dynamic startup environment.
Qualifications:
Excellent communication skills, both written and verbal
Strong organizational and multitasking abilities with high attention to detail and an ability to prioritize effectively
Ability to handle sensitive information with discretion.
Self-motivated, adaptable, and able to work independently in a fast-paced environment
Preferred Skills:
Prior experience with payroll processing, invoicing, data entry, HR, and/or compliance
Proficiency in Google Workspace (Docs, Sheets, Calendar), Microsoft Office, and project management tools (e.g., Notion, AirTable, etc.)
Prior experience in an administrative or operations support role, preferably in a startup or tech environment
Roles & Responsibilities:
Provide administrative support to the Business Operations Associate and Chief Operations Officer for daily tasks and ad hoc projects.
Maintain and organize digital filing systems for easy access and compliance.
Oversee payroll processing and in voicing for employees, independent contractors (1099s), and customers.
Manage travel logistics, including booking flights, accommodations, and itineraries.
Assist with calendar management, scheduling, and correspondence for both internal teams and external customers.
Support compliance-related tasks, including documentation and reporting.
Assist in employee lifecycle processes, including onboarding and offboarding of staff.
Prepare, review, and distribute contracts, agreements, and other relevant documents.
Coordinate meeting logistics, prepare agendas, and take meeting notes as needed.
Handle general office management tasks and provide additional support as required.
