Main Purpose of Job
The primary purpose of this position is to perform secretarial duties for all Barrack Investigations Section personnel as well as as the Command Staff. All criminal work performed requires knowledge of the Department rules and regulations, NCIC regulations, UCR regulations, privacy and security laws as well as knowledge of legal terminology. This position also assists in the overall accomplishments of the Department and Barrack goals and objectives.
POSITION DUTIES
Incident Reports-Incoming Incident Reports are processed correctly.
Responsibilities include but not limited to: ascertaining if other agencies or departments are to receive a copy, and if so, forward the same. IF an Incident Report involves juvenile referral(s), a copy is sent to Juvenile Services. When an Incident Report documents the firing of a Department weapon for disposing of an injured animal, a copy of the Incident Report is forwarded to LA.S, Maintain OPS23 and follow the retention scheduled for this file.
At times, incidents occur where a Uniform Criminal/Civil Citation Forms DC28 & DC31 were issued. In cases concerning a juvenile 29rcehle consuming an alcohol beverage, a Juvenile Civil Citation is Issued. Unitor Criminal Civil Citations are also issued for adults who are underage or if an adult purchases alcohol for an underage subject.
Citations are written with regard to the current tobacco regulations. With reference to juveniles, this position is to ensure Juvenile Services receives the citation along with a copy of the Incident Report. For adults, the District Court is sent the citation on a transmittal form and the State’s Attorney’s Office is sent the citation with a copy of the Incident Report. If it is a juvenile, the citation with a copy of the Incident Report is sent to Juvenile Services. This position is to assure that the personnel with the responsibility for UCR statistics are given a count at the end of each month on how many Uniform Criminal/Civil Citations have been issued, for what reason and whether they were juvenile of adult. Incident reports are also initiated for found property, sick and/or injured persons.
Automated Incident Reporting File and the Speed Survey File is kept in a book in the Admin Specialist’s office for reference.
Processing of Expungements. Keep expunged records retained in a secure location. Retain records as outlined by Department policy.
Maintain the Expungement Ledger. Complete the execution of Expungement Orders within the required time. Mark/label each expungement folder, including the date expunged and date to be destroyed (per Dept policy), Ensure a Supplement Report is generated for each expungement, stating the record was expunged (including the petitioner’s name and the date of expungement). Complete and send out a Certificate: of Compliance (letter) to the petitioner, and their attorney (Where Applicable).
Other duties as assigned.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: One year of experience performing administrative staff, clerical, clerical technical, or secretarial work.
Notes:
1. Candidates may substitute 30 credit hours from an accredited college or university for the required experience.
2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Preferred Qualifications:
1. Experience with MD Court System/States Attorney Office, along with proven written and verbal communication with those entities
2. Experience with Google Applications, specifically Google Sheets and MS Office
LICENSES, REGISTRATIONS AND CERTIFICATIONS
Employees in this classification may be assigned duties, which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland
SPECIAL REQUIREMENTS
Candidates may be responsible for providing their own transportation as needed to access meetings, remote locations, and job destinations as assigned.
