Full Job Description

Job Purpose

Primarily responsible for customer support via phone and e-mail for both customers and technicians. This position is intended to assist and coordinate within the branch with multiple tasks between administration at the branch and corporate levels, sales, operations and customers. Success in this position is obtained through scheduling, accuracy, customer service (internally and externally) and maintaining/adjusting processes to streamline within the branch. Overall, this position should have a direct impact on customer relations, internal departments accuracy and interaction to achieve efficient and effective solutions to existing/new customers as well as employees.

Essential Job Duties

Work from the Branch Office 8 hours per day, Mon – Fri between 8:00 a.m. and 5:00 p.m.

Answer phone calls from customers.

Listen to their report of the issue, gather information, type detailed notes, and answer questions.

Schedule Service Technicians to go out to the customer site to repair malfunctioning system(s).

Review notes from service call to order necessary parts, follow-up, and/or reschedule appointments.

Use software to access and maintain the scheduling calendar.

Utilize and navigate Sedona software to find contact information as well as information on parts/equipment previously installed at the customer site.

Prepare service tickets for parts/equipment needed to service customer security systems.

Gather paper service tickets from completed jobs, scan them and upload to software system, then shred the paper ticket.

Create invoices for service tickets and submit to accounting via our computer system.

Special projects or assignments from Branch Manager.

Check contracts for accuracy and process.

Expected Hours of Work

This is a full-time non-exempt position. Standard days and hours of work are Mon – Friday, 8:00 AM – 5:00 PM.

Education

High School Diploma

Additional Requirement

Must be able to successfully pass a criminal background investigation.

Must be able to successfully pass a post-offer/pre-employment drug/alcohol test.

Clean driving record.

Physical Abilities / Working Conditions

Individual may need to sit or stand as needed. The position requires walking primarily on a level surface for periodic periods throughout day. The employee may reach above shoulder heights or below the waist or lift as required to file documents or store materials throughout the workday. May lift up to 25 pounds occasionally if needed. Proper lifting techniques are required.

Employee will be exposed to ambient room temperatures, lighting and traditional office equipment as found in a typical office environment.

Must be able to see and distinguish different colors, read small print and hear and recognize audible signals such as dial tones.

Problem-solving and troubleshooting skills; creative thinking, attention to detail.
