We are seeking candidates for an Administrative Assistant to join a highly successful telecommunications company located in Boston, MA. This position will assist the Corporate Tax organizations and will be responsible for processing invoices, tracking contracts and budgets, submitting expense reports, organizing events, and sorting mail. The ideal candidate will have 2-3 years of administrative experience in a corporate environment.

This is a 12-month contract that will pay $23-25/hr (depending on experience) within a 40-hour work week. This position is required to be onsite 3 days/week in their Boston office.

Responsibilities:

Review, process, and track incoming invoices and employee expense reports; reconcile all entries against the department’s annual budget using Excel to ensure accuracy and compliance.

Open, categorize, and digitally scan incoming mail; upload documents into the department’s SharePoint system and promptly distribute relevant items to the Tax team.

Prepare and mail federal, state, and local tax returns and supporting documentation, ensuring all filings are sent with certified tracking for verification and compliance purposes.

Maintain and update the Tax Department’s customized SharePoint site, ensuring organized storage of documents and seamless access for team members.

Prepare and submit check requests related to tax payments and notices, ensuring timely and accurate disbursement in line with filing deadlines.

Coordinate team meetings, events, and group lunches, managing logistics and budget to support departmental engagement.

Support the team in responding to inquiries from federal, state, and local tax authorities by gathering relevant documentation and assisting with correspondence related to tax notices.

Prepare routine “informational only” filings, ensuring proper formatting, accurate data entry, and timely submission in accordance with applicable guidelines.

Qualifications:

Bachelor’s degree in related field required.

2-3 years of administrative experience in a corporate environment is required.

Proficiency in MS Office Suite.

Ability to learn new tools and technologies for process and system improvements

Ability to follow through on tasks and deadlines, with strong skills in tracking timelines and proactively addressing both internal and external customer needs.

Excellent written and verbal communication skills, with the ability to clearly articulate ideas, provide actionable suggestions, and engage with diverse audiences.

Strong attention to detail, ensuring accuracy and consistency across all tasks and communications.

Proven ability to collaborate across departments and with employees at all levels, fostering productive relationships to drive shared objectives.

Highly organized and capable of managing multiple priorities simultaneously, consistently meeting deadlines in a dynamic, fast-paced environment through effective planning and task prioritization.
