ADMINISTRATIVE ASSISTANT – RECEPTIONIST
POSITION SUMMARY
This is a full-time, non-exempt position for the person who will perform a variety of administrative and office support activities for the Harris County – Houston Sports Authority (HCHSA).
This person must be a team player with the ability to take on multiple tasks with creativity, accuracy, enthusiasm, and attention to detail.
SPECIFIC DUTIES
Project a vivacious, friendly and business-professional image through in-person and telephone interaction;
Answer incoming telephone calls timely and route appropriately, taking accurate messages when required;
Welcome visitors and announce their arrival to appropriate staff member;
Validate guest parking as needed;
Open, sort and distribute incoming packages and correspondence;
Coordinate courier and delivery services as required by staff members;
Coordinate meetings using the Outlook calendar function; reserve appropriate conference rooms; handle food and beverage catering when necessary;
Serve as liaison with building management, security and garage personnel;
Assist in the management of Authority’s Suite at Minute Maid Park for Houston Astros home games;
Assist with Board of Directors, Committee meetings as needed, including Sports Authority Foundation Board meetings;
Manage offsite records storage;
Create and modify memos, letters, reports and other documents;
Create spreadsheets and slide presentations;
Coordinate travel arrangements (air, hotel and ground) as required;
Prepare expense reports;
Maintain current interoffice telephone directory;
Maintain acceptable levels of office and kitchen supplies; maintain copy room in neat and orderly manner, including Mail bins
Other projects as assigned
QUALIFICATIONS
High school graduate (some college preferred);
Minimum four years’ secretarial experience;
Typing skills of at least 50 wpm;
Strong working knowledge of PCs and PC-based software, including Microsoft, Word, Excel, Outlook and PowerPoint;
Strong oral/written communication skills;
Knowledge of the structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar necessary for proofreading;
Ability to work efficiently in a multi-tasked environment while maintaining a professional image;
Working knowledge of office procedures, office equipment, copiers, scanners, etc.;
Highly organized individual with good reasoning skills with attention to details.
Must demonstrate dependability, the ability to meet deadlines, reliability, and following through on assigned tasks.
SALARY RANGE:
$35,000 to $45,000/year ($16.83/hour to $21.64/hour)
