Summary:

The Office Administrator will support the essential function of the offices and support owners and employees with all administrative duties and corporate initiatives. The ideal candidate has experience with frequent interaction with customers, owners and employees.

Responsibilities:

Greet visitors and vendors with friendly eye contact and a smile
Provide excellent customer service to vendors as well as customers
Monitor all visitor activity and ensure GMP policy compliance
Answer, filter and direct phone calls
Manage company’s email and respond or forward inquiries to the appropriate personnel
File, copy and scan documents
Monitor and distribute internal and external mails/packages
Maintain records and update regularly
Create, update and maintain Excel spreadsheets for various company operations
Print and distribute reports
Produce weekly departmental reports and distribute to the owners and managers
Process donation requests
Order and maintain office supplies
Collect and set aside credit card receipts for reconciliation
Support outsourced AP inquiries and duties
Process employee reimbursement requests

Requirements:

Bachelor’s degree with a minimum of 1-2 years of experience as an Office Administrator, Administrative Assistant and Receptionist
Reliable, punctual, and committed to the job and company
Able to follow instructions and established procedures with minimal supervision
Possess excellent interpersonal skill and ability to communicate effectively with customers, vendors, team members and leadership
Possess sound judgment when planning and accomplishing goals; Able to prioritize
Have excellent project and time management skills (especially under critical deadlines)
Be accurate, detail-oriented, thorough and have excellent follow through
Possess a professional demeanor
Be able to work under strict confidentiality
Be flexible in a variety of situations and be a team player
Excellent verbal and written communications skills
Must have strong computer skills e.g. MS Office: Word, Excel, Outlook etc.
Ability to maintain focus in spite of interruptions

Job Type: Full-time

Pay: $20.00 – $25.00 per hour

Expected hours: 40 per week
