Location: 6000 Monroe Rd, Charlotte, North Carolina 28212
Summary: To assist in the daily office responsibilities and to provide administrative support to department management.
Supervisory Responsibilities: This job has no direct supervisory responsibilities.
Essential Duties and Responsibilities include the following:
Answers incoming calls in a courteous and professional manner.
Takes accurate messages.
Directs calls to the appropriate department or person.
Assists with booking travel for Variable Operations teammates as needed
Assists with processing expense reports for Variable Operations teammates in a timely manner and following company policies
Assists with processing invoices and billing back to appropriate departments/dealerships as needed
Prepares correspondence, reports, and other documents as assigned
Prepares for meetings with both internal teammates and vendor partners, including setting up conference rooms, Booking WebEx and ordering catering
Prepares all meeting logistics for 5+ regional conferences each year (attendees range form 80-150 people) – this includes securing meeting space, travel, catering, teammate registrations, etc.
Performs filing
Keeps itineraries and schedules
Operates office machines
Maintains demo vehicle listing and assists with assigning demos to new employees
Assists in the production and distribution of Variable Operations collateral materials
Maintains CSI at or above Company standards
Maintains an organized, clean and safe work area
Participates in required training
Records all hours worked accurately in company timekeeping system
Follows Safeguards rules and regulations.

Observes all Federal, State, Local and Company safety rules and regulations in the performance of duties.

Desired Education:
Bachelor Degree
Desired Work Experience:
Up to 3 years
Education/Experience:
Previous administrative or office experience desired. Excellent communication and organizational skills are required.
Certificates and Licenses:
Valid Driver’s License
Computer Skills:
Advanced skills in Microsoft Office products. Ability to learn and utilize web based applications.
Communication Skills:
Ability to understand and follow instructions. Ability to communicate effectively with customers and company
personnel.
Attendance Expectations:
The position requires regular and predictable attendance. Scheduled shifts may include evening hours, weekends, and holidays.
Physical Demands:
While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit; use hands to finger, handle, and feel.
Environment Demands:
Duties are performed primarily at a desk in an office environment. Work includes frequent clerical and administrative assignments and interaction with office and company personnel.
