This temporary position is located in Raleigh, NC – Wake County.

Job Order Hourly Rate of Pay: $21.54 (Based on education and/or years of relevant work experience reflected on the application).

This temporary position will be assigned to the Department of Commerce. This position is located at 301 N Wilmington St., Raleigh, NC 27699.

“This position reports to and provides on-site support for the Executive Business Support Coordinator within the NC Department of Commerce Office of the Secretary. As an Administrative Specialist II, this role is responsible for providing comprehensive administrative support to the Executive Leadership Team, ensuring seamless fiscal and operational functions.
Key Responsibilities:
Fiscal Administration & Expense Management:
Supports the Executive Leadership Team with fiscal services administration.
Reconciles receipts and invoices for the Secretary’s Office and Commerce Team Members.
Drafts and prepares travel reimbursements for Executive Leadership and Commerce staff.
Submits expense reports to the Fiscal Management Team for processingProcurement & Vendor Coordination:
Monitors, orders, receives, and distributes business supplies for the Secretary’s Office via NC E-Procurement systems.
Manages the procurement of goods, services, and IT-related purchases for the Executive Leadership Team.
Negotiates and ensures the timely delivery of commodities and services for the Division.
Liaises with internal and external vendors to address State Purchasing updates, invoice conflicts, and contractual compliance.
Operational & Administrative Support:.
Provides backup support to the Commerce Main Front Desk Receptionist, including:
Receiving and escorting visitors.
Providing information and directing callers to the appropriate personnel.
Assisting with business inquiries or directing them to relevant Commerce staff, Governor’s Office personnel, Legislative Offices, local government, state agencies, and regional offices personnel.
Manages invoice tracking, document filing, and recordkeeping to support compliance and operational efficiency.
This position plays a critical role in ensuring smooth administrative operations, effective procurement management, and high-level executive support within the Department of Commerce.”

Knowledge, Skills and Abilities / Competencies

Demonstrated experience using NC eProcurement.
Documented experience with accounting/bookkeeping functions (Accounts Payable, Accounts Receivable, etc.)
Demonstrated experience organizing workflow and coordinating activities to: Must have organizational skills necessary to organize workflow and coordinate administrative and business functions

Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
