The Department of Adult Correction, Division of Community Supervision has an exciting opportunity for an energetic, professional Administrative Specialist I to provide support to the Administrative Services section. This position assists the Director, Manager, and related administrative staff with maintaining records and coordinating the assignment of motor vehicles.
The mission of Community Supervision is to protect the safety of citizens in communities throughout the state by providing viable alternatives and meaningful supervision to offenders on probation, parole, or post-release supervision. The primary goal of Community Supervision is to reach an equal balance of control and treatment for offenders that will positively affect their behavior and lifestyle patterns.
The position will work directly with the Director of Administrative Services, Business Services Manager as well as the division office Fiscal Admin Specialists and perform administrative/clerical tasks in areas to include personnel, fiscal, and compliance with a focus on motor vehicles. The position provides reports to ensure state-owned vehicle are being fully utilized per policy and are available to all staff providing probation and parole services within all Community Supervision work locations across the state.
Responsibilities include the following:
Maintain vehicle and driver records for state-owned vehicles.
Oversee community parking requests and locations
Maintain driver verification documentation, including a copy of employee driver’s license.
Verify new hire compliance with North Carolina driver’s license policies.
Prepare and provide new hire with training materials, policies, and other vehicle-related information.
Monitor fiscal needs as related to motor vehicles and related needs; solicit bids and prepare local purchase authorizations.
Utilizes e-Procurement to request quotes from vendors if applicable.
Prepares and/or reviews travel authorization requests and expense vouchers for employees’ related expenses and submits to Director for approval and forwarding.
Prepare Mileage Logs for Admin Services assigned vehicles, and monitors for accuracy and timeliness. Compile monthly mileage reports with vehicle usage costs for Division and submits to Director.
Maintain knowledge of Motor Fleet Management policy regarding state-issued vehicles. Ensure accurate data and use is maintained when vehicles are reassigned or exchanged.
Maintains file for SBI Reports regarding damage to state vehicle, or lost/stolen, damaged state equipment related to same
Ensures vehicle reports are accurate and compliant with policies, to include verification of use
The successful incumbent will have in-depth knowledge of the functions of the Community Supervision operations, field-based positions, and the use of the related tracking platforms (e.g., Traxware, Sharepoint, Telematics).
This is a full-time position (40hoursper week) with State Benefits.

High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.

The NC Department of Adult Correction is one of the largest state agencies with more than 19,000 employees. It is responsible for safeguarding and preserving the lives and property of its citizens through prevention, protection, and preparation as well as the care, custody, and supervision of all adults sentenced after conviction for violating North Carolina laws. This department includes State Prisons with custody, healthcare, and facility operations staff as well as the division of Community Supervision. The Division of Community Supervision (DCS) is responsible for overseeing supervision of adult offenders on probation, parole, or post-release. The DCS mission is to ensure public safety while helping offenders make positive changes and successfully complete their supervision.
DCS collaborates closely with the NC Post-Release Supervision and Parole Commission, the court system as well as other state agencies, and community partners, particularly those addressing mental health, substance use, and re-entry issues faced by our returning citizens.
DCS is also responsible for the supervision of offenders who transfer from other states through the Interstate Compact program and has oversight of the Community Service Work Program.
