Position Overview
The Division of Rehabilitation Services is seeking to hire a detail-oriented and organized Office Specialist to perform specialized paraprofessional and technical office support functions for the Adjudicative Services Section, Bureau of Disability Determination Services (BDDS). This position initiates case development, verifies forms are completed, enters claimant’s personal information, makes determination for requests of medical information, and assists Adjudicators as needed. The Office Specialist receives telephone calls via the BDDS Inquiry Line, responds to inquiries of status and application requirements and follows-up on phone calls to vendors. This position utilizes the SSA electronic case file and National Disability Claims Processing System, enters claimant’s personal information, verifies claim type, and reviews claim for necessary actions based on the unique characteristics and previous actions on the claim. The Office Specialist assists Adjudicators in ongoing cooperative correction plans to address work problems/issues which assists the adjudicators with case delays.
Essential Functions
Performs specialized paraprofessional and technical office support functions for the Adjudicative Services Section, Bureau of Disability Determination Services (BDDS).
Initiates case development, verifies forms are completed, enters claimant’s personal information, makes determination for requests of medical information, assists Adjudicators as needed.
Follows-up on phone calls to vendors.
Utilizing the SSA electronic case file and National Disability Claims Processing System, enters claimant’s personal information, verifies claim type, and reviews claim for necessary actions based on the unique characteristics and previous actions on the claim.
Assists Adjudicators in ongoing cooperative correction plans to address work problems/issues which assists the adjudicators with case delays.
Receives telephone calls via the BDDS Inquiry Line, responds to inquiries of status and application requirements.
Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
Requires knowledge, skill, and mental development equivalent to two (2) years of secretarial/business college and one (1) year of office experience
or completion of high school and three (3) years of office experience
or three (3) years of independent business experience.
Qualifying state employees, in the employee Upward Mobility Program, may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification.
Conditions of Employment
Requires ability to pass a federal employment background check. Individuals selected for positions with the Illinois Disability Determination Service (DDS) must go through a complete federal background investigation suitability determination by the Social Security Administration. Those individuals meeting the state requirements for employment must first complete the federal background investigation prior to their start date. This is necessary to determine whether an employee can be issued credentials in order to have access to the Social Security Disability data, records and systems. Further details will be provided during the pre-employment background check process.
