Executive Assistant & Office Coordinator
Saber Power Services, LLC, (SPS) located in Houston, TX is a nationally recognized full service, EPC, specialty engineering, procurement, construction and testing and commissioning company specializing in complex medium and high voltage electrical infrastructure in North America.
JOB SUMMARY:
The Executive Assistant & Office Coordinator supports our C-suite executives in a high-voltage Engineering, Procurement, and Construction (EPC) firm. This individual will play a pivotal role in managing executive calendars, communications, and office operations, while also serving as the first point of contact at the receptionist desk. Additionally, the Executive Assistant will be responsible for maintaining office supplies and ensuring a smooth, efficient work environment for senior leadership and office staff.
Key Responsibilities:
Executive Support:
Manage complex calendars, scheduling appointments, meetings, and travel arrangements for the C-suite executives.
Prepare and organize materials for meetings, presentations, and reports as needed.
Handle confidential and sensitive information with discretion and professionalism.
Serve as a liaison between the C-suite and internal/external stakeholders, ensuring smooth communication and timely follow-ups.
Assist in preparing agendas, minutes, and action items for executive meetings.
Support executives with personal administrative tasks as necessary, maintaining a high level of trust and confidentiality.
Receptionist Desk Coverage:
Greet visitors, clients, and employees with professionalism and a positive, welcoming attitude.
Answer, screen, and direct incoming calls in a courteous manner, ensuring that calls are promptly directed to the appropriate parties.
Manage visitor logs and issue visitor badges in accordance with company policies.
Maintain a clean, organized, and professional reception area.
Assist with basic administrative tasks, such as filing, data entry, and office correspondence.
Office Supply Management:
Oversee inventory and ordering of office supplies, ensuring that the office is well-stocked and operational at all times.
Monitor office equipment (copiers, printers, etc.) and ensure proper maintenance and functionality.
Coordinate with vendors and suppliers for office supplies and services, including ensuring competitive pricing and timely delivery.
Organize storage areas and ensure efficient usage of supplies and office space.
Administrative Support:
Assist with the preparation of reports, presentations, and spreadsheets as requested by the C-suite.
Coordinate logistics for events, meetings, and conferences involving the C-suite executives.
Support the office with various administrative tasks as needed, including managing office files, ordering catering, or booking meeting rooms.
Work closely alongside the Office Operations Coordinator to ensure P.E. licenses and Saber COA’s are kept up to date.
Handle various ad-hoc projects to support the broader office team and leadership as needed.

Required Qualifications:
Bachelor’s degree in Business Administration, Management, or a related field (equivalent work experience may be substituted).
3+ years of experience as an Executive Assistant or in a similar role, ideally supporting C-suite executives in a fast-paced environment.
Exceptional organizational skills with the ability to prioritize multiple tasks and manage time effectively.
Strong written and verbal communication skills, with a professional and courteous demeanor.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience managing calendars and scheduling, with attention to detail.
Ability to maintain confidentiality and handle sensitive information.
Strong problem-solving abilities and adaptability in a dynamic work environment.
Preferred Qualifications:
Experience in the Engineering, Procurement, and Construction (EPC) or high-voltage industries is a plus.
Previous experience handling travel arrangements and event planning.
Proficiency with advanced features in Microsoft Office, particularly Excel and PowerPoint.
