Job Description

PURPOSE OF POSITION:
Under direction of the Dr. Andrew Wallach, Chief of Ambulatory Care Services and Laura Alves, AED of Ambulatory Care Services, serves as an Executive Secretary with considerable latitude of initiative and judgment. Performs highly confidential and exceptionally difficult, complex and responsible secretarial work for Chief of Ambulatory Care Services and AED of Ambulatory Care Services.
DUTIES & RESPONSIBILITIES:
Provides confidential administrative support to Dr. Andrew Wallach, Chief of Ambulatory; coordinates and oversees the day-to-day management and activities of the office; ensures a productive and efficient operation; project planning and prepare routine letters and/or reports which are highly sensitive and confidential in nature; coordinate administrative projects as assigned.
Provides confidential administrative secretarial support to Laura Alves, AED of Ambulatory Care Services, serves as Executive Assistant to the Ambulatory Care.
Ensures regulatory compliance by providing assistance in maintaining records, preparation and timely submission of reports, correspondences, letters of support, memorandum of understanding to various government and regulatory agencies for quality assurance/regulatory/CMS activities related to the provision of safe quality care
Coordinate Joint Commission (JC) Preparation activities within the Division to improve quality of services provided, organize work performance and activities to meet work objectives and accreditation standards and regulations
Maintain Executive Administration policies and corrective action database to ensure compliance
Liaison between key clinic Managers, Senior Staff and Executive Staff to maintain communication flow, workflow and proper follow-up, to coordinate the disposition and resolution of any outstanding problems and/or issues; serve as the primary point of administrative contact and liaison with other operating departments and programs, as appropriate
Plan, coordinate, prepare for and support meetings including scheduling and preparing appropriate meeting space, ordering catering, providing hospitality services to guests and assisting with materials, presentations, technology and other resources as requested and directed; oversight for specific tasks or projects associated with meeting/conferences; records and distributes meeting minutes as requested.
Draft, edits and distributes internal and external communications; proofreads communications before distribution, administers distribution lists; creates and edits documents including general correspondence, agendas, monthly minutes, memorandums and statistical charts, presentations, department organizational charts, Dictaphone recordings or verbal instructions and route to the appropriate staff for handling and disposition.
Completes administrative processes such as mail processing, filing, faxing scanning, copying, collating and organizing; may delegate or outsource these functions to others if resources are available; timely processing, tracking, reconciliation and routing of e-Commerce purchases to the appropriate queue for approval
Perform miscellaneous job-related duties as required, including assisting in the daily operations of the Operations Division, providing bac up administrative coverage for peers ensuring all internal and external customers are served, respond to inquiries to ensure seamless

Minimum Qualifications

1. a. High School Diploma or equivalent, and four years of clerical experience including two years as a stenographic secretary; or,
b. A Baccalaureate Degree from an accredited college or university and one year of experience as a stenographic secretary; or,
c. An Associate Degree with specialization in Secretarial Science and three years of clerical experience, one year of which shall have been as a stenographic secretary.
2. The ability to take dictation accurately, rapidly and to transcribe. Ability to exercise discretion and diplomacy in all internal and external contact relationships and to exercise initiative in the preparation of routine correspondence, in handling administrative details and to maintain confidentiality of all executive and Corporate matters.
3. High level verbal, written and secretarial skills and knowledge required; or,
4. A satisfactory combination of education, training and experience.
