About the Role
We are seeking a highly organized and detail-oriented Administrative Assistant to support our Account Management and Operations teams.
This role is essential to maintaining efficient workflows by assisting with proposal creation, data entry, mapping, auditing, and general administrative support. You will play a key role in ensuring accuracy across systems, meeting deadlines, and keeping projects moving forward smoothly.

What You’ll Do Proposal Creation
- Create irrigation and small enhancement proposals for Account Managers
- Utilize tools such as PropertyIntel, Aspire, or similar platforms
- Ensure proposals are accurate, complete, and aligned with project requirements
- Duplicate and modify existing proposals as needed
Administrative & System Support
- Support Account Management team with day-to-day administrative tasks
- Create and manage issues/tasks within Aspire
- Upload proposals, maps, and documentation to client portals
- Maintain organized and up-to-date digital records
Mapping & Property Data Support
- Assist with map creation including sequencing, irrigation layouts, and property overviews
- Use PropertyIntel, Google Maps, or similar tools for mapping tasks
- Ensure maps are accurate and aligned with project scope
Auditing & Quality Control
- Review maps, proposals, and property data for accuracy and completeness
- Ensure all documentation follows internal processes and standards
- Identify and correct discrepancies before final submission
Onboarding & Data Entry
- Assist with onboarding new properties into internal systems
- Support time entry and data input processes
- Ensure all new property data is accurate and properly documented
Deadline & Task Management
- Manage multiple tasks and deadlines simultaneously
- Meet or exceed turnaround times for all assigned work
- Communicate proactively regarding progress, delays, or issues
General Administrative Support
- Provide ongoing support to the Account Management team
- Handle ad hoc administrative tasks as needed
- Assist in improving workflows and operational efficiency
What You Bring Required Experience
- 2–4+ years of experience in administrative support, operations, or similar roles
- Strong experience working with systems, data entry, and documentation
- Experience supporting teams in a fast-paced, deadline-driven environment
- High attention to detail and accuracy
- Strong organizational and multitasking skills
- Excellent written and verbal English communication
- Ability to follow structured processes and maintain consistency
Technical Skills
- Experience with Aspire (preferred)
- Familiarity with PropertyIntel or similar mapping tools (preferred)
- Google Maps or mapping software experience
- Microsoft Excel / Google Sheets (intermediate)
- Google Workspace (Docs, Drive, Sheets)
- Comfortable learning and navigating new systems quickly
Nice to Have
- Experience in landscaping, construction, or property services industries
- Familiarity with irrigation or property mapping concepts
- Experience working with client portals or document management systems
- Background supporting account management or operations teams
- Process improvement or workflow optimization experience
Technical Requirements
- Reliable high-speed internet connection
- Modern computer capable of handling multiple platforms simultaneously
- Ability to work full-time during PST hours (8:00 AM – 5:00 PM)
