Position Summary
The Executive Assistant (EA) is a key administrative role within the Office of the President at WXXI, providing comprehensive support to the President & CEO and ensuring the smooth operation of executive functions. Reporting to the CEO while being jointly supervised by the Chief of Staff, the (EA) will handle critical administrative tasks, schedule coordination, and facilitate board and organizational communications. The role will also support the Executive Vice President (EVP), Chief Financial Officer (CFO), and Chief of Staff in their administrative needs.
Key Duties/ Responsibilities:
Executive & Administrative Support
Manage the CEO’s calendar, travel arrangements, and expense reports.
Coordinate logistics for meetings, conferences, and executive events.
Draft and manage official correspondence, reports, and presentations on behalf of the CEO.
Board & Governance Support
Prepare meeting materials, agendas, and minutes for Board of Trustees and committee meetings.
Track board member terms, demographics, and participation records.
Support the onboarding and orientation of new trustees.
Office Operations & Event Coordination
Maintain organizational records, office subscriptions, and executive files.
Oversee office supply management and vendor coordination.
Assist in planning staff engagement activities, appreciation events, and other executive-led initiatives.
Special Projects & Community Engagement
Provide support for DEI initiatives and community outreach programs.
Assist in government relations and advocacy efforts.
Ensure the executive content on WXXI’s website remains accurate and up to date.
Qualifications
Prior experience in executive administration, office management, or nonprofit administration.
Strong organizational, time management, and multitasking skills.
Proficiency in Microsoft Office, scheduling tools, and professional communication platforms.
Ability to work in a fast-paced environment while handling sensitive information with confidentiality and integrity.
Excellent verbal and written communications skills to effectively interact with executives, clients, and colleagues.
Ability to organize meetings, including scheduling, sending reminders, and organizing catering when necessary.
Maintain comprehensive and accurate records.
Ability to manage multiple priorities and maintain discretion.
A proactive approach, adaptability and a high level of attention to detail.
Education and Experience:
Associate’s degree or 5 years’ experience in related field
Notary Public License Required. Must obtain notary license within 1st year of hire.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift 15 pounds at times.

Pay: $57,600.00 – $65,000.00 per year
