You’ll also handle mail, order supplies, set up meetings, and create necessary documents. Requirements:

You’ll Get a Chance To

Retrieve messages from voicemail and forward them to appropriate personnel.

Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department; deliver messages or transfer calls to voice mail when appropriate personnel are unavailable.

Answer questions about the organization and provide callers with address, directions, and other information.

Welcome on-site visitors, determine the nature of business, and announce visitors to appropriate personnel.

Maintain office security by following safety procedures and controlling access via the reception desk.

Assist with access card assignments and system updates as required.

Coordinate facility needs with the property management group.

Update appointment calendars and assist staff with meeting scheduling as needed.

Receive, sort, and route mail. Arrange courier and overnight services as needed.

Maintain a professional atmosphere in the office and ensure the area is tidy. Set up for meetings and clean up once meetings are completed.

Order, receive, and maintain office supplies, meeting food, and snacks.

Create and print fax cover sheets, memos, correspondence, reports, and other documents when necessary.

Provide other support as requested.
