QUALIFICATIONS:
High school diploma or GED
Ability to maintain accurate and auditable records
Proficient keyboarding, word processing, file maintenance skills, and 10-key skills
Ability to use personal computer and software to develop spreadsheets, databases, and do word processing
Knowledge of basic accounting principles
Ability to meet established deadlines
Strong organizational, communication, and interpersonal skills
Experience:
One to three years secretarial experience, preferably in public education environment
Two years data entry experience
Four years experience in school district administrative support position requiring collecting and
entering data; experience using coding systems
REQUIRED KNOWLEDGE/SKILLS:
Ability to multitask even under high pressure situations
Ability to maintain professional composure at all times
Possess strong organizational skills
Communicate with students, parents, and staff members in a courteous and supportive manner
Ability to abide by confidentiality laws/procedures
Ability to complete work in a timely manner to meet deadlines
Proficient in computer use, printer use, using a photocopier, faxing, and in basic bookkeeping tasks.
DUTIES/RESPONSIBILITIES:
Provide clerical and administrative support to the principal, vice principal and teaching staff
Ensure that the office operates in a consistently organized manner every day
Act as liaison between the community, the school and other internal and external stakeholders
Coordinate appropriate documents for communication with the district office
Maintain all recordkeeping for students and staff
Maintain student and staff confidentiality in all circumstances
Track attendance and absences; use reporting software/generate reports
Communicate effectively with a variety of district and community officials
Use common computer hardware and software efficiently
Perform data entry
Perform general office duties such as answering telephone inquiries, filing, spreadsheets,
Display strong communication, interpersonal and organizational skills
Carry out assigned tasks with minimal direct supervision
Provide services for teachers, administrators and students like typing, proofreading, and editing
Maintain the integrity of information systems, databases, and office files
Prepare and circulate communication documents
Reconcile accounts
Purchase office supplies
Enroll students using school database/software
Distribute incoming mail daily
Dispense medication and attend to other medical needs of students when the nurse is off campus
Create and maintain up to date class lists
Manage activity fund accounts
