We’re seeking a proactive Administrative Assistant / Coordinator to support a prestigious investment office in Miami. This role begins on a temporary basis with the strong potential to convert into a full-time hire for the right long-term fit.
About the Role
This individual will be the face of the Miami office, providing day-to-day administrative and operational support while maintaining a polished, professional, and welcoming environment.
Key Responsibilities:
- Greet and host guests/clients upon arrival; coordinate meetings, catering, and refreshments
- Manage boardroom availability, video conference connections, and office logistics
- Distribute and prepare all incoming/outgoing mail and couriers
- Keep shared spaces — stock room, print area, and kitchen — organized and fully stocked
- Support expense reporting, invoice tracking, and data entry
- Arrange complex travel itineraries and manage associate calendars
- Assist with printing, binding, and proofreading presentation materials
- Collaborate closely with the Office Manager and the administrative team
Ideal Candidate:
- 2–3 years of related reception or administrative support experience (finance or professional services a plus)
- Conversational Spanish preferred for facilities/vendor coordination
- Degree or post-secondary education in Office Administration preferred
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
- Exceptionally organized, detail-oriented, and able to multitask in a fast-paced environment
