The American Diabetes Association is seeking an Executive Assistant. This position will provide C-Level support. The Executive Assistant serves as the primary point of contact for internal and external communities on all matters at an executive level. The Executive Assistant also serves as a liaison to the senior leadership team; organizes and coordinates executive initiatives, external relations efforts; and oversees special projects. The Executive Assistant must be proactive and enjoy working within an environment that is mission-driven, results-driven and community oriented. The incumbent in this role will be required to exercise excellent judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills. The Executive Assistant will be required to manage competing priorities to successful completion while adhering to tight deadlines. The incumbent must be able to work independently on projects, from conception to completion, under pressure at times to handle a wide variety of activities and confidential matters with discretion.
RESPONSIBILITIES
Executive Support
Completes a comprehensive variety of administrative tasks for C-Level Executives including: managing an exceptionally active calendar; completing expense reports; composing and preparing correspondence to include those of a confidential nature.
Acts as the “gatekeeper” and “gateway” to the C-level Executive while managing direct access to their time.
Communicates directly, and on behalf of the C-level Executive, with company staff, stakeholders, clients, and others.
Researches, prioritizes, and follows up on incoming issues and concerns addressed, including those of a sensitive or confidential nature and determines appropriate course of action, referral, and/or response.
Follows up on contacts made by the Executive and supports the cultivation of ongoing relationships.
Edits all and creates acknowledgement letters as requested.
Provides a bridge for smooth communication between internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
Works closely and effectively with the C-level Executive by acting as a “barometer,” having a sense for the issues taking place in the environment and keeping them updated.
Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects, some of which may have organizational impact.
Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks.
Prioritizes conflicting necessities; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Senior Leadership Support
Serves as the administrative liaison to Senior Leadership.
Coordinates agendas, schedule and attend meetings, off-sites, and all- staff meetings.
Represents the C-Level Executive in designated meetings as required.
Assists in coordinating the agenda of meetings. Prepares an account of the meetings and designates and follows up on assigned action items.
Maintains discretion and confidentiality in relationships.
Edits and completes first drafts for written communications to external stakeholders.
Supports, completes or creates formal reports on behalf of senior leadership.
Travels as needed with senior leadership
QUALIFICATIONS
Bachelor’s degree in business administration or similar.
A minimum of two years of experience supporting C-Level Executives.
Advanced MS Office proficiency (Email, Word, Excel, PowerPoint, Outlook, and SharePoint).
Strong proficiency working with Virtual meeting platforms: Zoom, Adobe Connect.
Proficiency with design tools like Canva
